If QuickBooks feels like more work than it saves, the problem is usually the setup, not the software.

The most common issues:
Default categories that don't match your business
Bank rules that sort transactions into the wrong place
No way to see profit by job, crew, or service line
Personal and business transactions mixed together

QuickBooks works well for service businesses once it's set up for how you actually run. That's a one-time fix, and it pays off every week after.

We do QuickBooks setup and training for service businesses. If yours needs a tune-up before year end, DM us QB.

Small Business Saturday is one month away, on November 28.

A number worth knowing: for every dollar spent at a small business in the US, about 68 cents stays in the local community.

Most people think of shops and restaurants for Small Business Saturday, but service businesses can join in too. Gift cards for a car detail, a haircut, a house cleaning, or a lawn package make great gifts. If you're planning to offer something, set it up in your books now. Gift card sales need their own spot so you can see what's been sold and how much work you still owe.

Are you planning anything for Small Business Saturday this year?

Myth: I'm too far behind to get caught up before the year ends.

Fact: catching up is a project with a clear start and finish. It's mostly bank statements, card statements, and receipts, matched and categorized month by month. Several months of backlog can usually be cleaned up in a few weeks.

What makes it harder is waiting. In January, your tax preparer's calendar fills up, deadlines get closer, and the backlog has grown another three months.

Behind is normal. Late October is a good time to start.

The Huskers have their bye week this Saturday, after the Oregon trip and before Washington comes to Lincoln on Halloween.

Coaches don't treat a bye like a vacation. They self-scout. They watch their own film, figure out what's working, and fix what isn't before the stretch run.

Your business can do the same thing in an afternoon:
Which services made the most money this year?
Which customers paid slowest?
Where did expenses creep up without you deciding?

You only get those answers from books that are current. Take the bye week. Watch your own film. 🌽

What would you want to know about your year if you had the numbers in front of you?

In a 2026 survey of small business owners, 42% named bookkeeping as their single biggest weekly time drain.

For a service business that number stings a little more, because your time is literally what you sell. Every hour spent fighting with receipts is an hour not billed.

There's nothing wrong with doing your own books. Just make sure it's a choice, not a habit you never got around to changing.

How many hours a week go to bookkeeping for you?

One simple rule fixes most of the January 1099 scramble: no W-9, no payment.

Before anyone gets their first check, get their completed W-9 on file. It has their legal name, address, and tax ID, which you'll need for their 1099. Trying to track down a former helper's Social Security number in late January is nobody's idea of a good time.

The rest of the routine:
✓ Make sure the name on the W-9 matches the name on their invoices
✓ Track what you pay each contractor all year long
✓ Keep every W-9 in one folder you can find

Our year-end readiness checklist walks through this along with everything else to wrap up before December 31. DM us CHECKLIST and we'll send it.

A lot of service businesses run on helpers, crews, and part-timers, and a lot of them get paid as contractors by default.

The IRS doesn't go by what you call someone. It looks at control:

Who decides how, when, and where the work happens?
Who provides the tools and supplies?
Is this person free to take work from other businesses?

If you set their schedule, train them on your way of doing things, and hand them your equipment, the IRS may see an employee, whatever the paperwork says. Getting this wrong can mean back payroll taxes and penalties.

This isn't meant to scare anyone. It's one of the most common gray areas in service work, and it's much easier to sort out now than during an audit. If you're unsure about someone on your crew, ask a tax professional. It's a quick conversation.
