Negative Accounts Receivable in QuickBooks? 👀 That’s a red flag I see more often than you’d think.

Today’s client had negative receivables because their deposits were being recorded directly into Accounts Receivable instead of an income account. When that happens, QuickBooks thinks you’ve been paid for invoices that don’t exist.

The fix?
✔️ Create invoices so the payments can be properly applied
OR
✔️ Change the deposits so they go to the correct income account instead of A/R.

Sometimes the issue isn’t complicated — it’s just a small setup mistake that snowballs over time.

If I were starting my bookkeeping business all over again in 2026, I’d do this differently:

1️⃣ I’d focus one one offer before adding more services.
2️⃣ I’d focus more on conversations and less on “looking” ready.
3️⃣ And I’d invest in a mentor so I didn’t have to figure everything out alone.

Because here’s the truth no one tells you…

You don’t need more certifications.
You don’t need a perfect website.
You don’t need to struggle in silence.

You need clarity.
You need confidence.
You need someone a few steps ahead who can shorten the learning curve.

Part 3 of QuickBooks Problems I Fix for Clients ✅

Today’s issue: Duplicate transactions showing up in loan and savings accounts.

If all your accounts are connected to the bank feed, QuickBooks will pull the same transactions into multiple accounts 👀

💡 The fix:
Disconnect the bank feed from your loan accounts and keep it connected to your checking account only. That way, transactions download once — not multiple times — and your books stay clean and accurate.

If your QuickBooks feels messy, there’s usually a simple fix. You just need to know where to look.

If your QuickBooks says you’re profitable… but your bank account says otherwise, you’re not alone.

This is one of the most common things I see with clients.

Profit does NOT equal cash.

Here’s what’s usually happening:
• You have unpaid invoices (income recorded, but no money received yet)
• You’re making loan payments or owner draws (which reduce cash but don’t show as expenses)
• Expenses are missing or categorized incorrectly

When you understand the difference between profit and cash flow, the numbers finally start to make sense.
