Credit card processing makes it easier for customers to pay—but the fees can become a meaningful cost of doing business.

They often erode quietly: a supplier increase that was never added to pricing, more employee time than estimated, small discounts given repeatedly, rising card fees, extra delivery costs, or work added to a project without a change in scope.

Each item may feel manageable on its own. Together, they can materially change the profitability of a service or product.

That is why margin review should be ongoing. Compare what you expected the work to cost with what it actually cost. Look for patterns, not just one-off explanations.

Small leaks are easier to fix when you find them early. Waiting until the annual financials show a major decline means months of profit may already be gone.

That is why a census report should be connected to billing and financial reporting—not reviewed in isolation.

The team may already be stretched. The owner may be approving every detail. Billing may be delayed because the work is completed faster than the office can process it. Customer follow-up may depend on one person’s memory.

When revenue increases without enough operational capacity, errors, overtime, delayed invoicing, and burnout often follow.

Your financials can help reveal that problem. Watch for labor costs climbing faster than revenue, work-in-progress increasing, invoices going out later, and margins shrinking even as sales grow.

Growth needs support behind it. Strong systems, clear ownership, and the right capacity allow new revenue to become sustainable profit instead of additional chaos.

Working with nonprofit organizations, I’ve seen firsthand how important strong leadership and strong boards are to an organization’s ability to fulfill its mission.

This program gave me an even deeper understanding of nonprofit board service — from governance and advocacy to fundraising, financial oversight, ethical responsibilities, and the role board members play in supporting both the organization and the community it serves.

At Koss Accounting Solutions, we work with nonprofit organizations on the financial side, but understanding the bigger picture makes us better partners. Knowing the responsibilities and challenges facing nonprofit boards helps us better support the organizations and leaders we work alongside.

Before signing for equipment, a vehicle, or a major software investment, look beyond the current bank balance.

Three reports can give you a much stronger starting point:

1. The balance sheet—to understand cash, debt, and current obligations.
2. A cash-flow forecast—to see what else will need funding over the next several weeks.
3. A budget-to-actual or trend report—to confirm whether the business is performing as expected.

The question is not only, “Can we make the payment today?” It is also, “Can we carry this investment through a slower month, tax payment, payroll cycle, or unexpected repair?”

Good financial decisions consider timing, risk, and return—not just approval.

The real cost of a new position may also include payroll taxes, workers’ compensation, benefits, equipment, software, training time, paid time off, and the temporary dip in productivity while the person learns the role.

Then comes the more important question: what does this hire make possible?

Will the position increase capacity, improve service, reduce owner bottlenecks, protect revenue, or give leadership time back for higher-value work?

A strong hiring decision looks at both sides of the equation—the complete investment and the measurable result the role should create. That turns hiring from a hopeful expense into a planned business decision.
