What's the biggest mistake you see? Waiting. Not the messy books, not the missed deduction. The waiting. People sit on an IRS letter, avoid the bookkeeping, put off the question, and a small fixable thing quietly becomes an expensive one. Almost nothing I deal with was a crisis when it started.

What's the worst bookkeeping file you've seen? I'll keep the client anonymous, but: two years untouched, personal and business money in the same account, receipts in a literal shoebox. And here's the thing; we untangled it. Every last bit of it. It always looks worse than it is. That's not bookkeeping anymore, it's archaeology, and I happen to like digging.

What's one thing every business owner should know? Your bank balance is not your profit. That number is holding payroll you haven't run, taxes you haven't set aside, and an invoice that hasn't cleared. Knowing the difference is most of the game.

The pattern under all three: none of these are discipline problems. They're visibility problems. When you can finally see your numbers, most of the panic goes quiet on its own.

My brother Mike Robertson and I are both notaries now. And we made this as easy as we possibly could.

Or don't move at all. We're both mobile and we'll come to you.

Nobody thinks about a notary until they need one. Usually at 4:58 on a Friday. Usually for something that was due yesterday.

The scariest three letters for most spiritual entrepreneurs: I. R. S.

Here's your permission slip to stop white-knuckling it. You don't need to understand tax law. You just need someone in your corner who does, and a system so you're never blindsided in April.

Rough rule of thumb: set aside 25โ€“30% of what you earn for taxes, in a separate account you don't touch. Future you will weep with gratitude.

CASH FLOW DOS:

โœ”๏ธ Keep cash reserves on hand for at least 3-6 months of expenses (preferably in a high-yield savings account).

โœ”๏ธ Invoice promptly and set automatic reminders to follow up on overdue invoices.

โœ”๏ธ Plan for seasonal fluctuations and monitor cash flow projections.

CASH FLOW DON'TS:

๐Ÿšซ Take on too much debt without a plan to pay it back.

๐Ÿšซ Overextend on crucial expenses like payroll, inventory, or rent.

Payroll is where I get the most "wait, am I doing this wrong?" questions. So let's clear a few up.

Should I be an S-corp? Sometimes. Past a certain point, and not a day before. It's a math problem with your actual numbers in it, not a rule of thumb from a networking event. If your profit's high enough, it can save real money; below that line, the costs eat the savings.

How often should payroll run? Whatever's consistent and legal in your state. Usually biweekly or semi-monthly. Pick one and hold it. Payroll chaos is just future-you's problem in disguise.

W-2 or 1099? You don't get to choose based on what's easier. The IRS decides it by how the work actually happens - who controls it, whose tools, whose clients. Guess wrong and the back taxes and penalties are yours.

Can I pay myself once a month? If you're an S-corp, you're on payroll and it has to be reasonable and regular. So yes, monthly can work, as long as it's actually running. If you're a sole prop or LLC, "paying yourself" is just a draw, not payroll, and the rules are different.

If you've said this, it's not a mindset problem. It's a visibility problem. You can't feel abundant when you have no idea where your money is actually going.

Busy โ‰  profitable. They're different spells entirely.

When you can finally see your numbers clearly, the panic quiets down - even before anything else changes. That's the real magic of bookkeeping (yes, I said bookkeeping can be magic, fight me ๐Ÿ”ฎ). Busy or actually profitable? Be honest ๐Ÿ‘‡

Whatever you're doing at 9pm that isn't the reason you started this.
