A contractor can finish the work and still lose the financial trail between the truck, the vendor bill, and the customer invoice.

Job-level costing, progress-billing tracking, and monthly reconciliation of card feeds and vendor bills are records that help the owner review each job with more context.

Choose one recent job and check that labor, materials, subcontractor costs, billing, and deposits are connected.

One customer job can have two dates that answer different questions.

The invoice date shows when the customer was billed. The payment date shows when the cash arrived. Keep both, then match every payment to the right invoice so unpaid balances stay understandable.

Open your oldest invoice and check the date, due date, remaining balance, and last follow-up.

The work was finished in September. The client paid in October. Which month shows the income?

Cash and accrual approaches answer that timing question differently. The right method depends on your business, reporting needs, and applicable tax rules.

Keep the invoice, work date, and payment connected. Then ask your bookkeeper and tax professional which basis applies to each report.

The question you almost do not ask is often the one holding up the books.

Grace A. of Adeyemi Consulting described her BooXkeeping experience as responsive and human, adding that the team never made her feel diminished for asking a question. That is her individual experience, not a promise of results.

$5,000 at the POS. $4,855 in the bank. The $145 gap belongs in the books.

Match the POS activity to the processor report. Record the fee separately. Then reconcile the net deposit. Real settlements may also include refunds, tips, taxes, adjustments, or timing differences.
