An EMP501 isn't just another form to submit.

You're checking whether the payroll records, amounts declared to SARS and payments made during the period actually agree with one another.

A difference somewhere in that chain needs to be understood before the reconciliation goes in.

That's why good payroll administration happens throughout the period, not during the final two days of October.

The submission is the end of the process. It shouldn't be the start of the investigation.

If you're an employer, personal tax isn't the only October deadline worth checking.

The 2026 employer interim reconciliation period closes on 31 October.

Your EMP501 needs to reconcile the first six months of the employer year, covering March to August.

This is one of those jobs that's much easier when the payroll records, EMP201 declarations and payments have been kept aligned during the year.

If yours hasn't been submitted yet, now is the time to check it.

We hear a version of this fairly often: “I wish someone had told me that earlier.”

Sometimes it is a filing date. Sometimes a missing document suddenly matters. Sometimes the business is profitable on paper but cash is tight. And sometimes the frustration is simply that nobody explained what the numbers meant until the issue became urgent.

The 2026 Employer Interim Reconciliation periodis open and runs to 31 October. It covers payroll activity from 1 March to 31 August 2026.

By the time the EMP501 is submitted, the EMP201 values, actual payments, payroll records and employee tax-certificate information all need to agree. A mismatch in one place usually means time spent tracing it somewhere else.

If those records have been kept aligned each month, the reconciliation is much calmer. If they have drifted, now is the time to find the differences before the end-of-October rush.

Before October gets going, spend half an hour with September’s numbers.
Check five things:
• What is still unreconciled?• Which customers need follow-up? • What supplier or finance commitments fall due next month?
• Which tax or payroll obligations are coming up?
• What do you need answered before the next management decision?

A current ledger and 30 focused minutes are enough to spot quite a lot before it becomes October’s problem. If this review never happens because the records are not ready, that is something Blue Cloud can help with

A reconciled set of books is the baseline. Once the records are current, management should be able to see what needs attention next.

Maybe collections are slowing. A cost has moved. Margin is getting tighter. A large commitment is coming up. Cash looks comfortable today but much less comfortable two weeks from now.

That is the part of reporting that matters to the person running the business. The history is useful because it helps with the next decision.

You can usually see the cost of weak finance admin before you see it in an accounting fee.

🔺 A director is still chasing invoices and statements.
🔺 The same missing documents are requested every month.

When a supplier asks why an invoice has not been paid, the answer should be easy to find.

Was the invoice received? Has it been approved? Is there a query on it? Is it scheduled for payment? Has cash flow changed the timing?

When those answers live across three inboxes and two people’s memories, a simple supplier query becomes an investigation.

It also slows month-end and makes supplier relationships harder than they need to be. A basic accounts-payable process gives every invoice a status and an owner.

Where does yours usually get stuck: receipt, approval, query or payment scheduling?

Before August closes, choose the question the business needs answered in September.

Can we afford the next hire?
Which customers are creating the cash squeeze?
What tax payments are coming?
Is there room for equipment, owner drawings or debt reduction?

Accounts are more useful when they help with the next decision, not only when they explain the last month.

A VAT return rarely becomes difficult on filing day.

The problem usually starts earlier: a supplier document that wasn't a valid tax invoice, a purchase that landed in the wrong period, a deposit nobody explained, or an unusual transaction nobody queried.

A better VAT cycle deals with those items while they're still recent. By filing day, the return should be a final review, not a rescue mission.
