📅 2026 YEAR-END TAX PLANNING: IS ITEMIZING WORTH ANOTHER LOOK?

Year-end tax planning looks different in 2026, and more taxpayers may benefit from itemizing their deductions.

💰 State & Local Taxes: The federal state-and-local-tax (SALT) deduction cap is $40,400 for 2026, although the limit begins phasing down at higher income levels.

❤️ Charitable Giving: New deduction rules make it especially important to compare itemizing with taking the standard deduction.

📋 Plan Before December 31: If you're making quarterly state estimated-tax payments or charitable contributions, reviewing the timing now could make a difference.

The best approach depends on your income, applicable phaseouts, cash flow, and federal and Virginia tax treatment.

📊 Federal Tax Savings Don't Always Mean State Tax Savings!

Recent federal tax law changes expanded several deductions and business incentives, but those benefits may not apply the same way at the state level.

Virginia generally follows a December 31, 2025, federal tax conformity date, with certain exceptions. That means a tax benefit available on your federal return could be treated differently on your Virginia or other state returns.

✅ Before year-end, consider:

Reviewing federal and state tax differences

Evaluating tax obligations in each state where you do business

Keeping detailed records of state-specific tax adjustments

Planning ahead to avoid unexpected tax liabilities

The takeaway: Federal and state tax planning should go hand in hand!

📋 YEAR-END PAYROLL CHECKLIST

Year-end payroll cleanup is easier in October than in January!

Before your final 2026 payroll, take time to:

✅ Verify employee names, Social Security numbers, and addresses—including former employees.

✅ Reconcile year-to-date wages and taxes with quarterly filings.

✅ Review overtime, tips, bonuses, gift cards, and other taxable compensation.

✅ Correct discrepancies before preparing Forms W-2.

A little preparation now can help prevent W-2 corrections, additional payroll fees, and unnecessary headaches in January.

📌 Don’t wait until year-end to get your payroll records in order!

💻📍 REMOTE WORK & PAYROLL TAXES: WHERE YOUR EMPLOYEES WORK MATTERS!

Remote work can create state payroll tax obligations long before year-end tax forms are issued!

Employers need to know not just where employees live, but where they actually perform their work. Incorrect payroll settings can lead to repeated withholding errors throughout the year.

✅ Before preparing 2026 Forms W-2, employers should review:
• Remote and hybrid employee work locations
• Short-term business travel
• Worker classifications
• Earnings and deduction codes
• State and local payroll tax settings
• Work-location history and records

📋 A payroll review now can help prevent costly mistakes later!

Tax rules vary by state and locality, so staying informed and maintaining accurate records is essential.

🚨 IRS Announces Temporary Dyed-Diesel Tax Relief! ⛽

The IRS is providing temporary federal excise-tax penalty relief for dyed diesel sold or used on public highways from October 1 through December 31, 2026.

✅ Certain federal excise-tax penalties will not apply during this period.

⚠️ Important: This relief does NOT automatically eliminate the underlying federal tax or override Virginia fuel-tax rules.

🚜 Farms, trucking companies, contractors and fuel distributors should maintain accurate records, distinguish federal and state requirements, and watch for additional IRS guidance regarding Form 720 and tax payments.

✈️ Business Travel Per Diem Rates Have Changed!

Effective October 1, 2026, the IRS updated its optional high-low per diem rates for business travel:

💰 $329 per day – High-cost U.S. localities
💰 $230 per day – Other U.S. localities

Employees must still document the time, place, and business purpose of their travel. Any reimbursement exceeding the substantiated amount generally must be returned or treated as taxable wages.

📋 Business owners: Now is a great time to review your company’s travel reimbursement policies and payroll settings to ensure compliance.

Keep in mind that the high-low method has limitations and may not apply to every traveler.

Virginia tax balances are carrying a 9% annual interest rate during the fourth quarter of 2026.

If you have an outstanding Virginia tax balance, paying sooner can help reduce the interest that continues to accrue.

Before making a payment, be sure to confirm the taxpayer, tax type, and tax period so the funds are applied correctly. If a notice is under appeal, don’t assume interest has stopped—special rules may apply to certain qualifying disputed assessments.
