Administrative Assistant – Job Description

Interpersonal Skills

Essential Functions
• Provide administrative support to partners and accountants
• Handle incoming calls to the firm.
• Draft correspondence; produce mailing to clients
• Process tax returns, financial reports and all correspondence to various government agencies on behalf of clients.
• Ability to communicate with clients regarding tax data
• Maintain due date tracking of tax returns.
• Coordinates preparation and mailing of tax return extensions for various clients.
• Prepares and mails estimated tax payments on behalf of clients
• Purchases office supplies and maintain office supply inventory, including stationery, envelopes, and business cards.
• Recommends changes to firm administrator in office procedures that would increase the clerical department's efficiency
• Assist with and maintain current system in place regarding electronic filing procedures
• Purchases office supplies and maintain office supply inventory, including stationery, envelopes, and business cards.
• Keeps all office equipment (except computers) in good working order.
• Performs receptionist duties.
• Pickup and delivery of data to and from clients, pickup lunches and run necessary errands for the firm
• Daily post office, FedEx, and UPS drop offs as applicable
• Assist with maintaining all client and firm files in an efficient manner
• Kitchen facility upkeep

Job Qualifications
• High school diploma
• MS Word – create correspondence, produce labels, mail merge documents
• MS Excel – spreadsheets including formulas, linking worksheets
• Knowledge and familiarity with the following tax software a plus: Ultra Tax, Practice CS, File Cabinet Solutions
• Experience in CPA firm or law firm a plus.
• Extensive knowledge of business English, spelling, grammar, punctuation, and arithmetic; modern office practices and procedures; office functions, regulations, and procedures.
• Ability to follow instructions and read, write, and communicate clearly and concisely in English.
• Ability to exercise judgment.
• Works with confidential client matters and personnel matters, requires ability to keep matters confidential.
• Ability to type 60+ words per minute accurately.
• Ability to use all general office equipment including computer, postage machine and copy machines

LA-2021-02, March 10, 2021 — Victims of Winter Storms that occurred February 11-19, 2021 now have until June 15, 2021, to file various individual and business tax returns and make tax payments, the Internal Revenue Service announced today.

According to KSLA, our water should be restored tomorrow. While we will be working from home again today, we anticipate being back in the office full time tomorrow. We hope everyone made it through the winter weather safely and with little/no damage!

Due to the snow accumulation over the night and the predicted continued snow/wintry mix throughout the week, our office will be working remotely to the best of our ability for as long as the power holds. 2021 is in full swing! Payroll tax returns, W-2s, and 1099s are due 1/31/2021; and client organizers have been mailed. If you receive an organizer annually and have not received yours, please let us know. Let us make this tax season a breeze for you!

Our office will be closed from 12:00 to 5:00 on December 22, 2020 for our firm Christmas party. We will also be closed on December 24th and December 25th, as well as January 1st. Outside of these days, regular business hours will apply. Have a safe and happy holiday season!

She graduated summa cm laude from Arkansas State University in Jonesboro, Arkansas and began her public accounting career in Shreveport. She enjoys examination representation including retirement trusts, estate tax returns and individual returns. She loves her family, her Audible app and yard work.
