This is one of the biggest places I see good organizations get tangled up. Not because they are doing a bad job, but because the tracking system does not match real life. Then the board sees a bank balance and assumes everything is available, and that is where things get messy.

If you’ve ever looked at your therapy practice deposits and thought, “I mean... money came in, so I guess it’s fine?” this one’s for you.

A lot of therapists end up with what I call mystery income. Deposits hit the bank, but they don’t clearly match sessions, late cancel fees, packages, or client credits. That’s when reporting starts getting messy fast.
