As Accounts Receivable Specialist, she facilitates billing and notice arrangements for homeowners, provides customer service to our Board members, managers and members and more! Connie brings a positive, solution driven attitude to the team. When challenges arise, she approaches them with a problem solving mindset and focuses on finding thoughtful, practical solutions. She consistently looks out for the best interests of the entire team and is always willing to step in, support others, and help move things in a positive direction.

🎉 Happy 15-Year HOAASiversary, Jamie! 🎉

This week, we celebrated Jamie Ryan's on her 15 year anniversary with the company! As Vice President and Staff Accountant Lead, she works with the executive team to roll out initiatives, work on improvements for the company, lead and manage our team of Staff Accountants providing financials to associations. She also works on financials on a monthly basis to include conversions of new clients. Jamie is known for being knowledgeable, kind, supportive and always receiving positive feedback from her team and clients.

Is Your Reserve Study Telling You the Truth? 🏘️

Picture a retiree on a fixed income opening a letter from her HOA. Inside is a special assessment she can't pay. Not $500. Thousands. And there's no plan B, because the money that should've been set aside for the roof and the roads just isn't there.

That's the nightmare version of underfunded reserves. And it doesn't happen overnight.

Here's what most boards miss: a reserve study is only as honest as the numbers feeding it. If the books are behind, or nobody's reconciled the reserve account in months, the study is built on guesses. It'll tell you what you want to hear — until the roof fails and reality shows up as a surprise fee.

So how does a healthy association avoid that surprise? Two habits:

✅ Accurate books every month — not a year-end scramble. Current, reconciled reserve balances mean your board sees trouble coming years out, not weeks out.
✅ Separation of duties — the person tracking reserve money shouldn't be the same person who can spend it or approve the spending. That's the check that catches a reserve fund quietly being tapped for operating expenses.
None of this is fancy. It's clean books, on time, with someone independent watching the account.

📋 Three questions to ask at your next board meeting:

1️. When was the reserve account last reconciled — and are those numbers in our reserve study?
2️. Is anyone reviewing reserve activity who isn't the same person handling the money?
3️. If a big repair hit next year, do the reserves actually cover it, or would owners get a bill?

Retirees on fixed incomes shouldn't get blindsided by a fee they can't pay because nobody was watching the reserves. Ask the questions now, while there's still time to fix it.

🎉 Big news at HOA Accounting Services: we're launching our new Client Success Team!

This team exists for one reason - to ensure a seamless experience for our clients, from the moment they sign on for services and through any transitions. This team will be led by our Director of Business Development, Heather Moore and it's first team member will be Angela Gagnon.

Angela has previously worked with clients in her Senior AP/Conversion Specialist role and we think she will be excellent in this new role supporting our clients.

Happy Client Anniversary! 🥳

Twenty years ago, Strawberry Square HOA in San Jose trusted us with their books. Two decades later, that partnership is still going strong.

That kind of relationship does not happen by accident. It takes a board that stays engaged, a management team that communicates well, and an accounting partner who shows up consistently, year after year.

What an Accounting Company and/or Management Company Transition Should look like, Financially

The topic of transitions between Accounting Companies and Management Companies has been a popular one recently. Something seems to have changed in the industry, creating a more touch and go approach with rushed conversions. Although Community records ultimately belong to the Association and not a Management Company, moving those records to a new provider can be difficult. Arrangements should be made to prepare for this in advance.

At HOA Accounting Services, smooth transitions are extremely important to us. They are the first impression when they are inbound and can set the tone for the relationship. Even on the way out, they can be a final impression and what makes a difference in a client's decision to come back to a company when their needs change in the future.
