Compensation: Hourly salary range $20 - $25/hr DOE. After 60 day probationary period, an employee evaluation will be facilitated and additional benefits may be offered, i.e. HSA insurance package, holiday pay (5 days) and PTO (5 days). After 1 year, 3% matching Simple IRA.
Job Description: We are seeking an experienced accounting and payroll clerk for a family owned business to help us in a season of growth and development. The Accounting Assistant is responsible for ensuring that payroll and general accounting are completed for approximately 65 + companies throughout the month.
Strategic Responsibilities Include:
Accountability: Model and promote mission, vision, and core values of the company.
Technical Experience: Managing, trouble-shooting and collaborating multiple systems, online platforms and projects simultaneously.
Leadership : Work as a valued team member, provide efficient and timely leadership to every area of the role, and serve as a positive role model for other team members.
Coordination: Collaborate and execute said projects with team members, the owner and clients to provide efficient, timely solutions and reconciliations.
Communication : Ensure constant and informative communication between all
necessary team members and clients; Develop and implement record keeping and reporting systems to assist with team collaboration and relations. Engage with all company platforms.
Specific Duties include:
Administration | Manage workflow and ensure that deadlines are met and work is completed.
Handle administrative requests/queries from the executive team.
Utilizing and managing various platforms (Microsoft 365, Quickbooks, Jetpack, etc.) Write and distribute emails, correspondence, scans and forms. Maintain a proper filing system [virtual]. Assist in the development, updating and maintaining office policies/procedures, contact lists, etc. for the further development and growth of this department. Manage workflow software and help develop checklists and improvements as needed.
Bookkeeping | Set up and manage client files: Quickbooks. General Bookkeeping Skills: post and reconcile client bank accounts, loans, payroll; reconcile tax return to books; Develop and oversee chart of accounts, verify and properly categorize expenses per best practices. Maintain client portal.
Client Services | Develop and nurture relationships with the clients. Liaise with the clients to ensure accurate information.
Payroll | Setup client data file, file appropriate federal and state forms, setup electronic filing. Problem solve under time constraints, strong administrative and critical thinking skills.
Must be good with numbers, detail oriented, maintain systems for organization/audits. Distribute employee stubs within designated timeframes for each client. Oversee, reconcile and manage all clients’ pay periods, hourly wages, salaries, overtime, sick days and vacation days of employees; Payroll deposits, garnishments, pension plans. Prepare and reconcile quarterly and annual payroll reports. Verify employee records and consult our team in the event of a discrepancy. Alter tax status and update employee files whenever applicable.
Education and General Qualifications
Certification or an Associate's degree is preferred. Highly proficient in computer skills and technology, 45 wpm, 10 key.
Accurate and meticulous in data entry.
Strong clerical, administrative and general office skills. Good organizational and time-management skills. Able to sit in front of a computer for long hours at a time.
