A QuickBooks file can look busy and still be unreliable.

Bank feeds, transactions, and reports all create activity. They do not automatically prove the file is accurate.

This shows up often in files that have been used for a while without a full review. The issue is usually not one obvious problem. It is often a mix of smaller things that affect the reliability of the reports.

Old balances. Accounts being used for the wrong purpose. Settings that do not match how the organization operates. Transactions accepted from the bank feed without enough review.

That is why we don't guess at the condition of a file. A clear review helps separate what is working from what needs attention.

A report can be accurate and still not be useful.

That usually happens when the structure underneath the report is too broad, too cluttered, or no longer matches how the business or organization actually operates.

That often happens when a business, nonprofit, or small specialty farm starts with a simple setup and keeps adding accounts as new needs come up. The system just outgrew its original structure.

Your reports should help you see what came in, what went out, what changed, and what needs attention. If the categories are too vague, important details get buried.
Start with your chart of accounts and look for accounts that are unclear, duplicated, inactive, or being used inconsistently.

Welcome, June.

This is the month where the year starts to feel very real. School routines shift. Summer plans begin. The days feel longer, but the calendar can still fill up quickly.

For business owners, nonprofit leaders, and small specialty farm owners, June can bring a mix of movement and distraction. There may be events, vacations, seasonal work, slower office rhythms, or a growing list of decisions that need attention before the second half of the year begins.

The middle of the year has a way of showing what is holding steady and what needs more support.

You do not have to overhaul everything this month. Start by noticing what feels scattered, what feels steady, and what would help you move into the rest of the year with more clarity.

Another rainy workday in the office today.

Today is Memorial Day.

It's a day to pause and honor the men and women who gave everything in service to this country. Whatever your plans look like, I hope there is space somewhere in the day to remember what this holiday means.

For those of you who are also business owners, nonprofit leaders, or church administrators, I know the work doesn't fully stop just because the calendar says holiday. The list is still there. The responsibilities are still there. The books may still be sitting in the background.

But if you can step away from the financial side of things today, even for a little while, today is a good day to do that.

The records will be there tomorrow. The reports can wait. The cleanup can wait. The questions can wait.

Happy Mother's Day!

Today is for every mom who carries more roles than most people ever see.

The planner. The problem solver. The appointment keeper. The snack finder. The schedule holder. The emotional support person. The one who remembers what everyone else forgot. The one who can hear a change in tone from another room and somehow knows exactly what happened. And all the other quiet, constant things moms do every day that no list could fully capture.

Some moms are also running businesses, leading organizations, managing farms, serving clients, caring for aging parents, volunteering, working full-time, or doing quiet work behind the scenes that never makes it onto a resume.

A lot of what moms do is invisible until it doesn't get done.

So today, I hope the moms reading this feel seen in more than one role. Not just for what you produce, manage, fix, organize, or carry, but for who you are in the middle of all of it.

Rest if you can. Let something wait if it can wait. Receive the appreciation without immediately turning it into another task.

Happy Cinco de Mayo!

When your books are feeling a little too spicy, it may be time to cool things down with a better system.

A few uncategorized transactions here, a missing receipt there, a reconciliation that keeps getting pushed to later. It may not seem like much at first, but before long the whole thing can start to feel like extra hot salsa when you were just trying to enjoy the chips.

Bookkeeping does not have to bring that kind of heat.

Clear categories, consistent reconciliations, organized receipts, and reports that actually make sense can take a lot of the guesswork out of your financial side. Once the system is working, you are not constantly wondering what is missing, what changed, or why the numbers do not look quite right.

So today’s reminder is simple: enjoy the tacos, keep the books mild, and do not let your financial records turn into the extra spicy part of your week.

May the Fourth be with your books.

A good bookkeeping system should not feel like you need Jedi training to understand it. Your transactions should be categorized clearly. Your accounts should be reconciled. Your reports should tell a story that makes sense when you open them.

When the financial side of your business feels cloudy, it is easy to start guessing. And guessing is not a great strategy, even in a galaxy far, far away.

Clarity comes from structure. It comes from consistent monthly habits, clean records, and reports you can actually use when decisions need to be made.

So today’s gentle reminder is this: you do not have to fight the dark side of disorganized books alone. A clear system can bring a lot more peace to the work you are already doing.
