Quick reminder that not all sales tax reports (or accountants!) are created equal… 🔍

My client remits their own sales taxes on a monthly basis using Jobber, their third party platform. As I was reconciling their payments, I found that the numbers weren’t lining up.

After digging in, I found:
• Jobber taxes deposits when received
• QuickBooks taxes them when applied to invoices

In Florida, tax is due when the work is performed, and that timing difference matters — especially for cash flow 💰

As I transition them from using Jobber reports to QuickBooks for sales tax purposes, I've prepared a detailed reconciliation to ensure amounts already remitted aren’t picked up again.

This is an example of the high level accounting analysis that I perform for all of my clients as part of my accounting services. 📊

It’s been a busy few weeks over here:

• Building an overhead factor for a client’s sales comp plan
• Cleaning up 2025 books for a new client
• Supporting a tax firm with workpaper prep
• Researching sales tax issues on a third-party platform
• Helping a client explore better accounting software options

Lots of problem-solving and making the numbers make sense. Always learning, and always trying to find ways to better serve my clients.

One of the first things I do in any cleanup is tie retained earnings to the filed tax return.

If prior year equity doesn’t align with what was reported, everything built on top of it is flawed.

From there, I:

• Categorize the current year properly
• Validate and reconcile every single balance sheet account
• Ensure assets, liabilities, and equity all make sense

I don’t just “clean up transactions.”

I rebuild the integrity of the financials from the ground up — so when I hand over financial statements, they’re accurate, defensible, and something I can confidently stand behind.

That’s my standard.

A January loss raised concerns this week for one of my clients.

So we zoomed out.

I analyzed 13 months of gross margin trends, reviewed sales volume patterns, and walked through the company’s breakeven point.

The margins were healthy. The model works. Sales were just temporarily below breakeven.

Not only did this ease my client’s concerns, now they are equipped with a clear target for the sales volume required to remain profitable. .

This is the difference between basic bookkeeping and true financial leadership.

A few months ago, a client’s QuickBooks bank feed disconnected and wouldn’t reconnect.

I stepped in, contacted QuickBooks, and was told it was a known issue with no clear timeline. I kept my client informed, pushed back, and ultimately secured a $625 refund for the 21 days of interrupted service.

Behind-the-scenes advocacy is part of the job — and part of the value. 📊💪
