Purchased new equipment for your business? Don't overlook the accounting details!

Investing in new equipment can help your business increase productivity, improve operations, and support long-term growth.

But purchasing the equipment is only part of the process. How you record that investment in your books matters, too.

Before closing the paperwork, make sure you have these three important details:

✅ Purchase Invoice: Keep a complete record of the equipment cost, including applicable delivery, installation, and other qualifying expenses.

✅ Financing Documents: If the equipment was financed, maintain records of the loan terms, payment schedule, and interest charges.

✅ Ready-for-Use Date: Document when the equipment was available for its intended use. This helps determine when depreciation should begin under applicable accounting rules.

Why is this important?

Equipment purchases generally need to be evaluated for capitalization rather than automatically recorded as regular business expenses.

Incorrectly recording these transactions can affect your asset values, depreciation calculations, financial statements, and tax reporting.

Accurate equipment accounting today means more reliable financial records tomorrow.

At NumberSquad, we help business owners maintain organized financial records and better understand the numbers behind their business decisions.

A December invoice may not become a December payment. But payroll, rent, and supplier bills still have their due dates.

That timing gap deserves attention before the holiday season gets busy.

For service businesses, November and December cash planning starts with a practical question: When is money likely to arrive, and what needs to be paid before then?

Start with a weekly review:

• Check unpaid invoices and expected payment dates.
• Confirm client holiday closures that could delay approvals.
• Map payroll, recurring bills, and planned year-end spending.
• Update the forecast as payments arrive or dates change.

Use realistic collection dates rather than assuming every invoice will be paid immediately. Spotting a possible shortfall early gives the business more time to follow up, adjust spending, and plan.

A warranty repair may be free for your customer, but is it really free for your business?

For auto repair shops and service-based businesses, warranty returns are part of maintaining customer satisfaction. However, every warranty job can involve costs that need to be properly tracked.

Even when customers aren't charged, your business may still incur expenses.

Here's what you should be monitoring:

✅ Replacement Parts: Track the cost of parts used to complete warranty repairs.

✅ Labor Costs: Record the time your technicians spend performing warranty work.

✅ Supplier Reimbursements: Keep track of credits, refunds, or reimbursements received from manufacturers or suppliers.

✅ Warranty Expenses:Properly categorize warranty-related costs to understand their impact on your profitability.

Why does this matter?

Without accurate records, warranty expenses can quietly affect your profit margins, and you may miss reimbursements your business is entitled to receive.

Good bookkeeping isn't just about tracking revenue. It's about understanding where your money goes.

At NumberSquad, we help business owners maintain accurate financial records, organize expenses, and gain better visibility into their business finances.

Two projects. One supplier invoice. Are you tracking your costs correctly?

When your business handles multiple projects at once, keeping track of expenses can become complicated.

Imagine ordering materials from one supplier for two different renovation projects.

The supplier sends one invoice, but the materials belong to different jobs.

How do you make sure each project reflects its actual costs?

Allocate expenses accurately. Assign material costs to the project where they were used.

Track project profitability. Understand how much each job costs compared to the revenue it generates.

Maintain organized records. Keep invoices and supporting documents connected to the right projects.

Make better pricing decisions. Use accurate job costs to improve estimates and future project budgets.

When expenses are assigned to the wrong project, your financial reports may show misleading profit margins.

Accurate job costing helps you understand which projects are actually making money.

At NumberSquad, we help business owners maintain organized bookkeeping records and gain better visibility into their business finances.

A loan payment is not just one expense. Do you know where your money is actually going?💰

For business owners, understanding your loan payments is an important part of maintaining accurate financial records.

Every payment typically has two components:

Principal: The amount that reduces your outstanding loan balance. It is not recorded as a business expense.

🔹Interest: The cost of borrowing money, which is recorded separately as an interest expense.

Why does this matter?

Recording the entire loan payment as an expense can overstate your business expenses and affect the accuracy of your financial reports.

Properly separating principal and interest helps you maintain cleaner books, understand your liabilities, and make more informed financial decisions.

Not sure if your business loans are being recorded correctly?

At NumberSquad, we help business owners maintain accurate financial records and stay on top of their accounting.

A service can cover the cost of delivering the work and still leave very little profit for the business.

That’s why gross profit and net profit deserve separate attention.

Gross profit shows what remains after direct service costs, such as labor or contractors assigned to the work.

Net profit goes further. It accounts for the remaining business expenses, including overhead and other applicable costs.

For example, a project may leave a healthy amount after delivery costs. But software subscriptions, insurance, administrative expenses, and other operating costs still need to be covered.

Before changing prices or taking on more clients, review both figures:

• Are direct service costs leaving enough to cover overhead?
• Which operating expenses increased?
• Are costs recorded consistently so the comparison is meaningful?

Understanding the difference helps turn a financial report into a more informed business decision.

You reviewed a project’s labor cost using the amounts deposited into employees’ bank accounts.

Is that the full payroll expense?

Take-home pay is what employees receive after deductions. It is different from gross wages, which are earnings before deductions. Employer payroll taxes and other employer-paid costs also need to be accounted for.

Start with your payroll report. Check gross wages, employee deductions, employer taxes, and payments against your accounting records. If you track costs by project, review the job assignments too.

Avoid guessing the missing amount from the bank withdrawals alone. The payroll records explain how those payments fit together.

NumberSquad offers payroll and accounting support to help keep these records connected. Contact the team at https://numbersquad.com/

Your business paid a supplier, received a customer payment, and covered payroll this week.

Have all three made it into your books correctly?

Before using your financial reports, compare your accounting records with your bank statement.

This is called bank reconciliation.

For example, a supplier payment could appear on your statement but be missing from your books. Until it is recorded, your reports may show expenses that are too low and cash that is too high.

Start with last month’s statement.
Match the transactions, check missing fees, identify payments that haven’t cleared, and investigate any differences.

That review gives you a stronger foundation for business decisions and tax preparation.

Did a project cost more than you expected? Your numbers can help you understand why.

Maybe the work took extra hours, material prices increased, or the project scope changed. Comparing your planned costs with your actual costs helps you spot these differences. That’s the idea behind standard costing variance analysis.

For business owners, it starts with three practical questions:

✅ What did we expect to spend?
✅ What did we actually spend?
✅ What caused the difference?

Spending less deserves a closer look, too. A lower cost could reflect better efficiency, but it could also mean important work was delayed.

You don’t need to investigate every small difference. Start with the gaps that could affect your profit, then use what you learn to improve your next budget.

Revenue growth can look impressive.

But if expenses are growing just as fast, the business may not actually be getting stronger.

We usually look at:
• gross revenue
• operating expenses
• payrol;
• contractor costs
• recurring subscriptions
• profit margins

A business can become busier without becoming more profitable.

That is why revenue should never be reviewed alone.

At NumberSquad, we help business owners understand what their numbers are actually saying so growth leads to stronger financial outcomes.
