Not every cost increase arrives as one big, obvious bill.

Sometimes it shows up a little at a time.

A software plan gets upgraded. A monthly service increases. Another subscription is added. A card-processing fee changes. Insurance renews higher. A tool no one uses anymore keeps billing in the background.

None of those expenses may feel significant on their own.

But by the end of the year, recurring costs can look very different from where they started.

That is why a year-end expense review should be more than asking, “What did we spend?”

Look for what changed.

Which recurring costs increased? Which ones were added? Which ones are still earning their place in the business?

You do not need to cut every expense.

You just want to know which costs grew on purpose and which ones grew quietly.

Your biggest customer brings in the most revenue.
Sounds like your best customer, right?

Maybe.

But revenue doesn’t tell you what it costs to serve that customer.

One client may require more labor, frequent rush work, discounts, extra support, rework, or slower payment terms. Another may bring in less revenue but require fewer resources and leave the business with a healthier margin.

That’s why customer profitability can tell you something sales numbers alone can’t.

The question isn’t only:
Who spends the most with us?

It’s also:
What does the business actually keep after serving them?

Sometimes your most valuable customer isn’t the one with the biggest invoice.
It’s the one creating the healthiest return for the business.

When you look at your top customers, look beyond revenue.

Discounting revenue and discounting profit are not the same thing.

Imagine you sell something for $100 and it costs $70 to deliver. That leaves $30 before other operating expenses.

Now reduce the selling price by 10% to $90 while the $70 cost stays the same.

Your revenue fell 10%.
Your gross profit fell from $30 to $20 a much larger percentage change.

That doesn’t mean discounts are always a bad strategy. It means the business should understand what the discount does to margin before using it to drive volume.

If lower pricing requires dramatically more sales just to produce the same gross profit, that’s worth knowing before the promotion starts.

Pricing decisions are marketing decisions. They’re also accounting decisions.

Before discounting the price, calculate what happens to the margin.

If October 15 felt like a scramble, the problem probably started long before the deadline.

Maybe the books weren’t caught up. Maybe you weren’t sure what you were going to owe. Maybe questions came up when there wasn’t much time left to do anything about them.

That’s the frustrating part. You’re reacting to the numbers instead of already knowing where things stand.

Once things settle down, ask yourself:
What would make next year feel different?

Keeping the books current, checking estimated payments, and having tax conversations earlier can make a big difference.

That’s where IAS Tax Advisory comes in. We can help you look ahead, understand where things stand, and build a plan before the next deadline is right in front of you.
Because tax season shouldn’t feel like something you just survive.

If this past deadline felt more stressful than it should have, let’s make the next one easier.

If you filed an extension for your 2025 individual tax return, tomorrow matters.

October 15 is the federal filing deadline for most individuals who requested a six month extension.

One important reminder: an extension gave you more time to file, not more time to pay. For most taxpayers, any 2025 federal income tax owed was still due by April 15.
That is why tax planning matters long before filing season. Current books, estimated tax liability, and setting cash aside throughout the year can make these deadlines a lot easier to manage.

Tomorrow is about getting the return filed. Better planning happens well before the deadline.

If you are still working through an extended return, make sure October 15 is on your radar.

This is one reason profit and cash can tell different stories.

When you make a loan payment, the cash leaves your bank account but accounting separates the payment into different pieces.

The interest portion is generally an expense on the profit and loss statement. The principal portion reduces the loan balance on the balance sheet instead of reducing profit in the same way.

So you can have a real cash outflow that doesn’t appear as a full expense on the P&L.

That can make an owner look at the income statement and wonder, “If we made that much, why don’t we have that much?”

The answer is often found by looking beyond one report.

Your P&L explains profitability. Your balance sheet and cash activity help explain what happened to the money. When the cash and the P&L don’t seem to match, look at the full financial picture.

If April’s numbers aren’t reliable until July, you’re making June decisions with old information.

That lag matters.

A month-end close isn’t just an accounting routine. It shortens the distance between something happening in the business and you being able to understand it.

When the books are current, you can spot changes in revenue, margins, payroll, receivables, expenses, and cash flow while there is still time to respond.

When they’re months behind, accounting becomes historical cleanup instead of a decision-making tool.

You don’t need financial reports simply so they exist. You need them soon enough to be useful.

That’s the difference between recording the business and actually seeing what’s happening inside it. Current numbers make better decisions possible.

An unpaid invoice becomes a bigger business issue when too much of your expected cash is tied to one customer.

If one customer represents a large share of your outstanding receivables, their payment timing can affect payroll, vendor payments, tax obligations, and the cash available for everything else.

That’s why total accounts receivable only tells part of the story.

You also want to know:
• how old those invoices are,
• which customers owe the largest balances,
• whether balances are becoming more concentrated,
• and whether payment patterns are changing.

$100,000 in receivables can look strong on paper. It feels very different if $60,000 of it is more than 90 days old or dependent on one customer.

The number matters. The makeup of the number matters too.

Don’t just ask how much customers owe you. Ask who owes it and how long it has been sitting there.

More sales should mean more breathing room, right?

Not always.

Growth often requires cash before the new revenue ever reaches the bank. You may need more labor, inventory, materials, equipment, insurance, software, or marketing now while customers pay 30, 45, or 60 days later.

So revenue can be climbing while cash becomes more constrained.

That doesn’t necessarily mean growth is bad. It means growth has to be financed somehow, and the timing matters.

This is where current books and cash-flow visibility become useful. Instead of asking only, “Are sales up?” you can ask, “How much cash does this growth require, and can the business carry it until the money comes in?”

Accounting is most valuable when it helps answer that question before growth creates a cash crunch.

A profitable month can still feel tight in the bank account and that doesn’t automatically mean the numbers are wrong.

A profitable month can still feel tight in the bank account and that doesn’t mean the numbers are wrong.

Profit shows what the business earned. Cash shows what’s actually available right now.
Those numbers can differ when customers still owe you, debt payments are leaving the account, inventory has been purchased, taxes are due, or distributions have been taken.

That’s why your bank balance alone doesn’t tell the whole story.
Good accounting helps you understand what you earned, where the cash went, and what’s coming next so you can make better decisions with the full picture.

If profit looks healthy but cash feels tight, that gap is worth understanding.
