🏦 What Is Bank Reconciliation?

It’s one of the most important tasks in bookkeeping, and one of the easiest to overlook. Bank reconciliation means comparing what’s in your books against what’s on your bank statement to make sure the two match.

When they don’t, reconciliation helps catch:

✅ Missing or duplicate entries
✅ Bank fees you forgot to record
✅ Data entry errors
✅ Unauthorized transactions

Doing it every month means problems get found while they’re small, not at tax time when they’re expensive to untangle.

Monthly reconciliation keeps your books accurate. Bank and card reconciliation is part of our Accounting & Bookkeeping service, so you don’t have to carry it yourself.

💬 Questions to Ask Your Accountant Before Year-End

The end of the year is the best time to have a conversation with your accountant, not after the books are closed. Here are four questions worth bringing to your next meeting:

🔹 Should I make any purchases before the year ends?

🔹 Am I on track with my estimated tax payments?

🔹 Are my books ready for tax filing?

🔹 What should I do now to avoid surprises at tax time?

A few minutes of planning now can save a lot of stress later.

Bring these to your next accountant meeting.

Which question do you wish you had asked sooner? Tell us in the comments.

⚖️ The Accounting Equation, Explained Simply

Every number on your balance sheet comes back to one simple formula:

Assets = Liabilities + Equity

Here’s what each part means:
🟠 Assets: what your business owns, like cash, equipment, and inventory
🔴 Liabilities: what your business owes, like loans, bills, and taxes due
🔵 Equity: what’s left for the owners after debts are paid

When your books are accurate, this equation always balances. If it doesn’t, something has been recorded incorrectly, which is exactly why clean bookkeeping matters.

Every transaction keeps this equation in balance.

📅 2026 Estimated Tax Payment Deadlines

If you’re self-employed or a business owner without tax withholding, estimated taxes aren’t optional. They’re how you pay the IRS throughout the year. Here are the federal deadlines for the 2026 tax year:

🟠 Q1: April 15, 2026 (income Jan 1 – Mar 31)
🔵 Q2: June 15, 2026 (income Apr 1 – May 31)
🔴 Q3: September 15, 2026 (income Jun 1 – Aug 31)
🟠 Q4: January 15, 2027 (income Sep 1 – Dec 31) ⬅️ Next up!

Individuals, including sole proprietors, partners, and S corporation shareholders, generally need to make estimated payments if they expect to owe $1,000 or more when their return is filed.

Please note: these are federal dates for individuals. Corporations follow a different schedule, and many states have their own deadlines. Not sure what applies to you? Ask your tax professional.

⚖️ Cash vs. Accrual Accounting

Two businesses can earn the same money and still show very different numbers on paper. It all comes down to when transactions are recorded.

Here’s the core difference:
🟠 Cash Basis
Income is recorded when money is received. Expenses are recorded when money is paid. Often used by smaller, simpler businesses.

🔵 Accrual Basis
Income is recorded when it is earned. Expenses are recorded when they are incurred. Often used by growing or larger businesses.

Neither method is right for everyone. The best choice depends on your business, and it can affect your financial statements and your taxes, so it’s worth discussing with your accountant.

The right method depends on your business.

🗄️ How Long to Keep Business Records

Wondering what you can safely clear out of the filing cabinet? The answer depends on the type of record. Here are the general IRS timeframes:

🟠 3 Years: the general rule for records supporting income, deductions, and credits
🔵 4 Years: employment tax records, counted from when the tax is due or paid, whichever is later
🔴 6 Years: if you omit income that is more than 25% of the gross income shown on your return
🟠 7 Years: if you claim a loss from worthless securities or a bad debt deduction

A few more things worth knowing: keep copies of your filed tax returns, and keep records indefinitely if a return was never filed. Records tied to property should be kept until the limitation period runs out for the year you dispose of it.

These are general IRS guidelines, and your situation may differ. When in doubt, ask your tax professional before you shred anything.

📊 Understanding Your Financial Statements

Your financial statements tell the story of your business, but only if you know how to read them. Here’s a quick guide to the three core reports:

🟠 Income Statement (P&L): shows revenue, expenses, and profit over a period
🔵 Balance Sheet: a snapshot of assets, liabilities, and equity
🔴 Cash Flow Statement: tracks cash moving in and out of the business

Together, they show how your business is performing, what it owns and owes, and where your cash is going.

Know how to read them, and you know your business.

📋 How to Build a Business Budget

A budget isn’t about restricting your business. It’s about giving every dollar a purpose. If you’ve never built one, or it’s been a while, here’s a simple way to start:

1️⃣ Review Past Results: look at last year’s income and expenses
2️⃣ Set Revenue Goals: estimate realistic income for the year
3️⃣ Plan Your Expenses: separate fixed costs from variable ones
4️⃣ Check In Monthly: compare actuals to budget and adjust

A budget works best when you revisit it, not just when you create it.

A clear budget turns goals into a plan.

💵 Smart Ways to Improve Your Cash Flow

Profit on paper doesn’t always mean cash in the bank. Managing the timing of money in and out is one of the most important habits a business owner can build. Here are four simple places to start:

1️⃣ Invoice Promptly: send invoices as soon as the work is done
2️⃣ Follow Up on Late Payments: track receivables and send reminders
3️⃣ Review Recurring Expenses: cancel subscriptions you no longer use
4️⃣ Build a Cash Reserve: set funds aside for slower months

Small, consistent habits add up to a stronger financial position.

Healthy cash flow keeps your business moving.
