Are you looking to apply for the PPP (Paycheck Protection Program) from the SBA? Here's a list of the documentation you will need.

> 2019 IRS Quarterly 940, 941 or 944 payroll tax reports;

> Payroll reports for a 12-month period (ending on your most recent payroll date), which will show the following information:
>>Gross wages for each employee, including officer(s) if paid >>W-2 wages;
>>Paid time off for each employee;
>>Vacation pay for each employee;
>>State and local taxes assessed on an employee compensation;

>1099s for independent contractors for 2019;

>Documentation showing total of all health insurance premiums paid by the company owner(s) under a group health plan;
>>Include all employees and the company owners

>Document the sum of all retirement plan funding that was paid by the company owner(s) (do not include funding that came from employees out of their paycheck deferrals);
>>Include all employees and the company owners.

How do you make your business more efficient?

First all, learn how to read your income statement. Go over your statement, preferably into the software in which it was entered (Quickbooks) and see if you recognize all the charges for all the accounts.

Preferably, a visual aid, such as a graph (think pie chart or bars) will help you digest the data in a different way.

Needless to say, percentages and variances of percentages are a very efficient way to detect anomalies. Again, charts help.

Of course, these graphs and percentages can only be achieved by using a spreadsheet program to view the data.

What's the best use of reports?

Reports can be like trees: too many and you can't see the forest anymore.

Each business and each manager is different. Ideally, you should have no more than 5 criteria you want to get from your data.

Then, you can take potshots at specific issues.

Example: a restaurant wants to find the percentage cost of his sales at given periods of time. How does it help? It will allow management to fine-tune labor costs and shave precious dollars from every day by eliminating extra labor.

My last post referred to the use of bookkeeping to find out what's going on in your business and control costs, specifically in a restaurant or bar.

How do you do that?

What I'm going to write will seem pedestrian and obvious, but in fact is rarely implemented.

Bookkeeping is the recording of your financial transactions, whether receiving or paying money.

Once these transactions are correctly entered, it's called data.

You can view this data in various forms. One of the obvious are 2 reports: the Profit and Loss Statement and the Balance Sheet.

This is where bookkeeping veers into accounting, and provides you with reports that give you a good picture of your financial situation.

But you want more! Like what?

Up to this point, both the data entry and the reports where handled by Quickbooks or a similar software. Most people will view these reports in a PDF format.

However, if you use the Excel version of these reports, you can add all kinds of interesting analysis.

For example, you cost as a percentage of your sales. Down to individual accounts and time periods.

If you have a lot of transactions, a lot of inventory moving out and many employees, like in a restaurant, this allows you to really understand what's going on.

Ideally, you would want to design one or more spreadsheets which will give you clarity into what you're looking for.

Restaurants / Bar: How do you control your costs from theft and pilfering from bookkeeping?

For this type of challenge, we need a higher level of financial management called controlling.

In practice, it means subjecting the P&L to a percentage analysis and check for variances.

Basically, your food and drink cost should be about the same. Any variance beyond the normal will alert you something is going on.

Then, it's a matter of narrowing the window of P&L analysis, and installing inventory checks and the problem will be solved...
.. or found and fired.

Think about it this way: all financial transactions are basically the processing of data. Data is another word for information you can analyse scientifically.

The first and most important step in analyzing data is the collection of it.

Fortunately, with accounting transactions leave a track record which only needs to be correctly entered into the adequate software.
