Quickbooks Tip: If you’re trying to decide between Quickbooks software and Quickbooks Online, be aware that they are not exactly the same product. Quickbooks Online has a different layout and some differences in capabilities. In addition, with Quickbooks software, you can have multiple company files if you are running more than one business. If you use Quickbooks Online, you must pay the monthly subscription for each file.

Quickbooks Tip: If you transfer money between accounts, e.g., from savings to checking, you can use the Transfer Funds feature instead of the Write Checks feature. Go to Banking -> Transfer Funds and fill in the form. Your transaction will now show up in both account registers with the memo you provide. You can also memorize the transaction if it is a recurring event, which we covered last week!

Quickbooks Tip: If your item list is long, it can be tedious trying to find an item in the drop-down menu. However, if you start typing the item’s name, QB will automatically reduce the list to show only the items that match what you’ve typed. But remember, QB will only bring up items whose FIRST word matches what you’ve typed. So if your item is named Marble Swirl Ice Cream, you have to start typing Marble, not Swirl, Ice, or Cream!

Quickbooks Tip: Sometimes vendor and customer lists need to be cleaned up to keep them manageable. If you have vendor or customer names you no longer need and that you haven't used in 2010, right-click on the name and choose "Make Vendor/Customer Inactive". All the information about the contact is retained, but your list is pared down.

Quickbooks Tip: When you run a profit & loss statement, is your revenue figure too high? You may be using the wrong basis. Most small businesses use cash basis, not accrual. If you aren’t sure which basis to use, ask your accountant! To switch the basis from accrual to cash:
Edit>Preferences>Reports & Graphs. Company Preferences tab: Summary Reports Basis is Cash. Hit OK.

Quickbooks Tip of the Week: Do you have a hard time moving between windows in your QB file? Try using the Open Windows list!
To use this feature, click on the View menu at the top of the screen, then select Open Windows List. A box will appear on the left side of your screen, showing all of the windows currently open in your file, allowing you to quickly and easily navigate between them.
