This is one of the most common frustrations I hear from farmers:
Grain sold, cattle moved, the equipment is running, and bills are getting paid…but when you look at the bank account… it doesn’t quite add up like you expected.

Here’s what’s usually happening:
• Input costs (seed, feed, fuel, fertilizer) added up faster than expected
• Equipment repairs and operating costs quietly chipped away at cash flow
• Land payments and equipment loans are steadily pulling money out each month (and it’s easy to forget how much that adds up over a year)
• Income came in waves, but expenses kept flowing year-round
• Personal and farm spending may be overlapping in the same accounts
• No clear, up-to-date picture of profit per enterprise or season

So even in a “good year,” it can feel unclear where the money actually went.

🐝 The truth is:

The key isn’t doing everything all the time… it’s doing the right things in the right season.

🌱🚜 BUSY SEASON (Planting, Hay, Harvest)
Goal: Keep it simple and don’t fall too far behind

Focus on quick habits (5–10 minutes):
• Glance at transactions — make sure nothing looks off
• Snap photos of receipts (fuel, repairs, inputs) and upload to software or apps
• Keep grain tickets, sale records, and invoices in one place

That’s it. No deep dives. No perfection.

🌾❄️ SLOW SEASON (Winter / Downtime)
Goal: Catch up and get clear

This is your time to:
• Categorize and clean up transactions
• Reconcile bank and credit card accounts
• Review income and expenses
• Get everything organized and ready for your tax preparer

This is where the clarity happens.

🐝 The Reality:
Trying to “stay perfectly caught up” during busy season?
Not realistic.

Letting everything pile up until tax time?
Also not ideal.

👉 The sweet spot is doing just enough during busy season so slow season isn’t overwhelming.

You don’t need hours every week — just a few intentional habits. See below for some weekly, monthly, and quarterly habits that will greatly improve next tax season.

🗓 Weekly (10–20 minutes):
1. Check your transactions.
Quickly review new income and expenses. Make sure everything looks familiar (no surprises 👀).
2. Categorize as you go.
Assign categories while it’s still fresh. Future you may or may not remember what “$47.32 at XYZ” was for.
3. Capture receipts.
Snap a photo or upload anything important. No more shoebox digging later.

📅 Monthly (30–60 minutes)
4. Reconcile Accounts.
Match your books to your bank and credit card statements. This is what keeps everything accurate.
5. Quick Financial Check-In.
Look at Income, Expenses, and Cash in the Bank. No need for deep analysis — just awareness.

🧾 Quarterly (15–30 minutes)
6. Set Aside / Review Taxes
Make sure you’ve set aside enough for taxes. Adjust if needed.

🐝 The Goal: Not perfection. Not hours of work. Just staying a little bit caught up all year so tax season becomes a simple handoff — not a stressful scramble.

Which means a lot of business owners are coming off of:
• Late nights sorting receipts
• Digging through bank statements

🚨 Breaking News for Small Business Owners 🚨

After careful review, we’ve discovered a shocking trend… Ignoring your bookkeeping does not make it go away. We know. We were surprised too.

Apparently:
• Unreconciled accounts don’t magically fix themselves
• “I’ll deal with it later” eventually becomes a situation
• And the IRS does, in fact, expect things to be accurate

Who knew? But in all seriousness — most messy books don’t come from laziness. They come from being busy, overwhelmed, and wearing too many hats.
Good news: It’s fixable. And it doesn’t have to stay stressful.

Sometimes all it takes is getting things organized and having someone in your corner who knows what they’re doing.

Until then… your receipts will continue their natural habitat of living in random places. 🧾😅

When Your Spouse Handles the Books… 💛📊
In a lot of small businesses and farms, bookkeeping starts the same way: “My spouse handles that.”
And honestly — that setup can work really well for a season. It’s someone you trust, someone invested in the business, and someone willing to help however they can. But over time, things can start to shift:
• The business grows
• Transactions get more complex
• Time becomes harder to find
• And “we’ll get to it later” becomes a regular thing

Suddenly, the books feel behind, stressful, or unclear — and it’s no longer a quick task at the kitchen table. So when is it time to hire help? It might be time when:
• Bookkeeping is falling behind consistently
• It’s causing stress or tension at home
• You’re unsure if things are being done correctly
• You need clearer financial insight to make decisions
Here’s the truth:

Let’s stop for a moment…
Take a look around you. Snap a picture. How many blessings or answered prayers are in that picture?

This picture may not seem like much but it holds so many blessings and answered prayers for me.
• The woods that I grew up in which are now where my children will grow.
• The large (unfinished) porch I always dreamed of having and the furniture to sit on and watch the sunsets or sunrise.
• A “Home” mat. Symbolizing not just a new house but a home built by my husband’s hands with so much care and dedication poured into it for our family.
• A ladder still up because the house is still a work in progress - one I am so thankful to have a husband that works so hard on after working his day job.
• Little shoes that are evidence of a bright, healthy, amazing little girl. And they are soon to be accompanied by those of her little brother.
• The time I am blessed with in the mornings to sit and read God’s word and to take a moment to look at the blessings around me and snap a picture.

It’s always easier to focus on the bad or the discouraging moments in our life. It’s important to take a step back and look at our blessings.
