According to IRS guidelines, most small business owners should keep tax records for at least 3 years from the date the return was filed.

However, there are a few important situations to be aware of.

- You should keep employment tax records for 4 years.

- If you underreported income by more than 25 percent, keep records for 6 years.

- For bad debt or worthless securities, keep records for up to 7 years.

- If no return was filed or it was fraudulent, records should be kept indefinitely.

When in doubt, keeping records longer is usually safer than getting rid of them too early.

1. Use bookkeeping software with budget tracking.

Tools like QuickBooks Online or Xero allow you to create and monitor budgets alongside your actual numbers, so you can stay on track throughout the month.

2. Connect your bank accounts.

Sync your business bank and credit card accounts to automatically import transactions and keep everything up to date without extra manual work.

3. Set your budget limits inside your budget tracker.

Use the budgeting feature in your software to set monthly budgets by account, then run Budget vs Actual reports to compare your actual spending and catch any overages early.

Check in regularly to make sure you are staying within those limits and adjust as needed.
