Most nonprofits already have internal controls for finances. But what about AI?

As AI becomes embedded into daily operations, a new governance challenge is emerging. Staff are using AI tools to draft communications, analyze information, summarize documents, and support decision-making, often without formal policies, oversight, or organizational standards.

The question is no longer whether nonprofits will use AI. The question is whether they have the governance structure to use it responsibly.

In our latest article, we explore some of the key questions nonprofit leaders should be asking as AI adoption continues to grow:

🛡️ How should organizations manage AI risk?

🔒 What policies should be in place to protect sensitive data?

👥 What role should leadership and boards play in AI oversight?

📈 How can nonprofits leverage AI while maintaining accountability and trust?

Organizations that establish clear AI governance today will be better positioned to reduce risk, strengthen consistency, and build trust as AI adoption continues to accelerate.

Grant invoicing is not just an administrative task — it is a core part of nonprofit financial management.

On paper, the process sounds straightforward: track expenses, compile documentation, submit the invoice, and receive reimbursement.

In practice, grant invoicing is one of the most system-dependent and compliance-sensitive areas of nonprofit finance. Without the right reporting structure, documentation process, and real-time visibility into grant spending, small breakdowns can create significant financial and operational consequences.

In our latest article, we walk through three real-world nonprofit scenarios where grant invoicing challenges contributed to:
💸 Returned grant funds
📉 Limited visibility into available funding
⏳ Delayed reimbursements and cash flow pressure

In each case, the issue was not a lack of effort. It was a lack of financial infrastructure — including systems, processes, reporting, and timely visibility into how grant funds were being spent.

The common thread: the organizations were tracking activity, but they did not have a clear, real-time view of grant funding, budget availability, and reimbursement status.

At Goldin Group, we help nonprofits build the financial systems and processes needed to manage grant budgets, track restricted funds, strengthen documentation, and submit accurate, timely grant invoices with confidence.

For organizations that rely on grant funding, strong grant invoicing practices are essential to protecting cash flow, maintaining compliance, and maximizing available resources.

Can your nonprofit withstand scrutiny?
Donors, funders, regulators, board members, and the public are asking more detailed questions about how funds are raised, managed, documented, and used to create mission impact.

Recent developments, including increased Form 990 oversight and scrutiny of high-profile organizations, highlight an important reality: doing good work is essential, but it is not enough on its own. Nonprofits must also be able to clearly demonstrate how their finances, programs, governance, communications, and mission all align.

In our latest article, we outline key best practices that can help nonprofits strengthen accountability, protect credibility, and build trust, including:

In our Nonprofit Numbers Explained series, we’re looking beyond surface-level indicators to understand what really drives mission success.

High program spending does not automatically equal high impact. Real effectiveness depends on:

🎯 Clear program goals and defined outcomes
📊 Strong evaluation and learning practices
💼 Adequate staffing and infrastructure behind the scenes
🤝 The depth and quality of services provided

A nonprofit with modest budgets but strong, measurable outcomes may be far more impactful than one with large program spending and limited results.

Goldin Group helps nonprofits connect financial data with impact metrics so leadership teams see the full picture.

Our Hidden Costs of Nonprofit Finance Series highlights the unseen operational challenges that inflate costs and complicate financial management. These issues often impact the organization long before leadership realizes the true financial burden.

One of the biggest culprits: A Poorly Designed Chart of Accounts.

Your COA shapes everything — reporting, audits, grant tracking, budgeting, and board communication. When the structure is unclear or outdated, the impact is felt in every corner of the organization.

🧩 Misclassified grants
⏱️ Slow month-end close
📑 Confusing board reporting
💵 Higher audit fees
🔄 Ongoing rework

A well-designed COA is one of the most powerful efficiency upgrades a nonprofit can make.
