Why I Started MJ Webb Bookkeeping and Why I’m One of the Crazy Ones Who Loves It

When I started MJ Webb Bookkeeping three years ago, it wasn’t just because of my accounting background, it was because, unlike most people, I actually really really really enjoy bookkeeping. I know, it sounds crazy, but there’s something I love about bringing order to financial chaos. While most people run away from messy books, I dive right in. Organizing transactions and making sense of the numbers is kind of like a puzzle for me, it just clicks.

Now, three years in, it’s become about so much more than just organizing books. Helping small business owners feel confident in their finances and seeing the real difference it makes is incredibly rewarding. It’s no longer just about balancing numbers, it’s about empowering people to focus on what they do best.

Looking back on these three years, I’m so grateful for the growth and the impact I’ve been able to make. And yes, I’m still one of the few who genuinely loves bookkeeping! 😄

January is around the corner (sort of)... and so is the 1099 scramble!

Picture this: It’s January ❄, you’re trying to get your 1099s sorted, and suddenly you realize you don’t have half the W-9s you need. Let the scramble begin!!

If you don’t already have W-9s from your contractors and service providers, now is a good time to start gathering them. (Trust me, you’ll thank yourself later.) Remember, you need W-9’s not just for fun bookkeeping trivia, they help you determine who actually needs a 1099.

And here’s a tip: Make it a habit to collect W-9s before you pay anyone. It’s much easier to get the paperwork done when there’s money on the line!

🤔 “Hire a bookkeeper AND a CPA?!” 🤔

Many small business owners wonder if they need a bookkeeper, a CPA, or both. They each serve distinct roles and work best together to keep your financials in check, especially when it comes to tax season.

To all my QuickBooks Online users! Do you want to talk about Bank Feed Confusion??

The Bank Feed (“Banking Transactions”) feature in QBO is a great tool that makes recording your daily transactions much easier, BUT.... beware of the “assumptions”! Sometimes QBO makes guesses on vendor names and general ledger accounts (categories), but they aren’t always correct. So, before you click “Add,” double-check for accuracy.

I’ve seen some pretty crazy things happen, and if mistakes aren’t caught in a timely manner, they can add up quickly. The two best tools for catching errors? Reconcile your accounts regularly and check your “undeposited funds” account monthly. The sooner you catch a mistake, the easier it is to fix—so don’t wait!"

To Excel or not to Excel (I’m talking spreadsheets here… 😀).

Have you been debating between using spreadsheets versus true accounting software for your small business bookkeeping? I won’t argue that spreadsheets are powerful, but when it comes to full cycle accounting and generating financial statements at any given time, I think accounting software wins hands down. Here are a few reasons why I think using accounting software to track your business finances is the better choice:

- Accounts Payable – Track vendors and bills

- Accounts Receivable – Track customers and invoices

- Inventory Management – Connected to bills and invoices.

- Automatic bank and credit card transaction imports.

- Bank reconciliation tools.

- Payroll.

- Receipt storage features.

- Financial statements and countless other report options already written and ready to go!

- Budgeting tools.

- … and the NUMBER ONE reason… It will save you hours of time! All accounting formulas are built into your accounting software. With excel, you must be the accounting expert. One wrong formula or calculation would only produce inaccurate financial reports.

Accounting software does come with a price tag, but in time it will pay for itself. If you choose to use spreadsheets or not use anything (ouch!), the time it will take to back track or correct errors will cost you more.
