Payroll FAQs: Questions Employers Ask Us Most

Payroll can bring up a lot of questions especially when rules change, employees query their pay, or deadlines are approaching.

Here are a few we hear regularly:

✔ When do I need to send payroll information?
We ask clients to send payroll information over 5 working days before payday. This gives enough time to process, check, review and make any amendments before submission.

✔ Do I need to tell payroll about starters and leavers straight away?
We ask clients to send starter and leaver details over with their payroll information. This keeps everything together and helps reduce the risk of emails or updates being missed.

✔ Why has an employee’s tax code changed?
Tax codes are issued by HMRC, and payroll must apply the latest code received.

✔ Do pension deductions apply automatically?
Not always. Employees must be assessed for auto-enrolment, and deductions depend on eligibility, scheme rules and contribution settings.

✔ Can payroll be corrected after it has been processed?
Yes but it is always better to catch errors before submission where possible.

Payroll questions are normal. Having the right support in place makes them much easier to handle.

When employees can get quick answers to payroll questions, everything runs smoother.

Delays or unclear communication can lead to:
❌ Frustration
❌ Repeated queries
❌ HR bottlenecks
❌ Loss of confidence
❌ Unnecessary admin time

A reliable payroll support process helps businesses by:
✔ Keeping employees informed
✔ Resolving issues efficiently
✔ Supporting managers and HR teams
✔ Improving overall employee experience
✔ Maintaining trust and accuracy

Whether it’s a payslip query, tax question, pension deduction, or holiday pay calculation responsive payroll support matters.

Good payroll isn’t just about paying employees correctly, it’s also about keeping accurate records.

HMRC requires employers to keep payroll records for at least 3 years from the end of the tax year they relate to.

This can include:
- Employee pay records
- Tax and National Insurance deductions
- SSP / SMP / statutory payment records
- Pension contributions
- Starter and leaver information
- PAYE and RTI submissions

Keeping organised payroll records helps businesses:
- Stay compliant with HMRC requirements
- Resolve employee queries quickly
- Prepare for audits or inspections
- Avoid costly errors and penalties
- Maintain accurate year-end reporting

Poor record keeping can create unnecessary stress especially during audits, funding applications, or employee disputes.

A reliable payroll process should give you confidence that everything is accurate, secure, and accessible when needed.

Every year around May, payroll teams start receiving the same P60 questions
Here are some of the most common ones we hear from employees:

🟩 “What is a P60?”
A P60 is a summary of your total pay and tax deductions for the tax year ending 5 April.

🟩 “When should I receive it?”
Employers must provide P60s by 31 May each year.

🟩 “Why do I need it?”
You may need your P60 for:
Mortgage applications
Tax returns
Proof of income
Benefits or student finance applications

🟩 “What if I’ve lost my P60?”
Employers can usually provide a replacement copy or a statement containing the same information.

🟩 “I changed jobs – who gives me my P60?”
Only the employer you worked for on 5 April provides your P60.

Good payroll support isn’t just about processing pay, it’s about helping employees understand it too.

Survived April? You’re not alone.

New tax year.
New thresholds.
New tax codes.
Same questions.

April is always a busy one and for many, a bit chaotic.

But now it’s done, this is where things start to settle.

Because when payroll is set up properly, the rest of the year becomes a lot easier.

"I've just been paying myself..."

Something I have heard over more often than I should. Directors are so busy with running their company and dealing with the day to day and doing payroll is pushed to one side. Paying yourself is so much more than "transferring" money to yourself from the business. It needs to go through payroll so RTI submissions to HMRC need to be made so no risk of penalties and incorrect reporting. Also running directors pay through payroll, it can use their tax efficiently on their salary, which is something else that is forgotten about.

We have recently had a director come to us who had "just been transferring money" to himself every month. No we have their PAYE set up and running correctly, tax efficient salary is in place, now fully compliant with HMRC and now peace of mind going forward.

It's not the first or last time we will hear a story like this. And we are always more than happy to help get on the right track.

April hits and the payroll questions begin.
“Why has my tax gone up?”
“My pay’s different… is that right?”
“What’s this new tax code?”

Every year, same questions. Different employees.

New tax year = new thresholds, new codes, new confusion.

And if payroll isn’t spot on (or clearly explained), those questions turn into concerns… fast.
The difference?
✔ Accurate payroll
✔ Clear communication
✔ Knowing what’s coming before employees ask

Because payroll isn’t just numbers it’s trust.

Payroll isn’t just about paying people it’s about getting it right.

When compliance slips, it can lead to:
✔ HMRC penalties
✔ Incorrect tax and NI
✔ Pension issues
✔ Unhappy employees

And with constant legislative changes, it’s easy to fall behind.

That’s why compliance isn’t optional it’s essential.

At Highland Payroll Services, we make sure your payroll stays accurate, up to date, and fully compliant.

Payroll shouldn’t feel like a monthly panic. For a lot of businesses, it still does.

Deadlines creeping up, last-minute changes and uncertainty over what’s right and what isn’t.

We see it all the time usually just before payroll is due.

But payroll isn’t just about getting people paid.

It’s about knowing someone is there to guide you through it.
To sense check things.
To answer the “quick questions” that are never actually that quick.
To step in before small issues turn into bigger ones.

Because when payroll is done properly, it should feel straightforward not stressful.

That’s where we come in.
