We can also help you with the more exciting parts, such as providing business advice, acting as a trusted partner, preparing management information so that you can make informed business decisions, cash flow management, budgets, forecasts and business plans. 💷 When is a business expense NOT a business expense?

Just because something is paid from your business bank account doesn’t automatically make it a tax-deductible business expense.

For an expense to generally be allowable for tax purposes, it needs to be incurred wholly and exclusively for the purposes of the business.

So where can things get tricky?

🏠 Home costs – You work from home, but that doesn’t mean the business can automatically pay your entire electricity, broadband or mortgage bill.

🚗 Travel – Driving to see a client may be allowable. Your normal commute to a permanent workplace generally isn’t.

👔 Clothing – A branded uniform or protective clothing may qualify. A smart suit you also happen to wear for meetings generally won’t.

🍽️ Food & drink – Lunch while you’re working isn’t automatically a business expense just because you paid with the company card.

📱 Phones & technology – Business use may be allowable, but personal use and how the contract is structured can make a difference.

🎁 Gifts & entertaining – These can often be legitimate business costs in an accounting sense, but that doesn’t necessarily mean you get tax relief for them.

And there’s another important distinction: an expense can be recorded in your accounts without necessarily being deductible when calculating your taxable profit.

The golden rule? Don’t assume that because the business paid for it, HMRC will automatically allow it.

Unsure whether something is genuinely allowable? It’s much better to ask before putting it through the business than discover the problem later.

Dear QuickBooks and Xero Marketing Teams,

Thank you for telling everyone that bookkeeping is "easy" and that the software "does it all."

It has been wonderful for my business.

Not because it has reduced my workload but because I now spend twice as long untangling what the software faithfully recorded exactly as the user told it to.

QuickBooks and Xero are fantastic pieces of software. The problem isn't the software; it's the idea that software can replace understanding.

The software doesn't know that you've posted your mortgage to "Office Expenses," your VAT payment to "Motor Expenses," or your director's drawings as "Staff Wages." It just says, "Certainly! Happy to help."

Then six months later I get the phone call:

"James, my bank reconciles perfectly... but my VAT bill seems a bit high."

Or my favourite:

"I've done all my bookkeeping myself, so it shouldn't take you long to do the accounts."

Cue several hours of detective work trying to work out why the balance sheet contains three laptops, four duplicated bank accounts, a £20,000 suspense account and a coffee machine that's apparently been depreciated as plant and machinery since 2019.

The irony is that I could often have done the bookkeeping correctly from the start in less time than it takes to fix it afterwards.

The real danger isn't that people make mistakes. Everyone makes mistakes.

It's that they don't realise they're making them.

The software balances.
The bank reconciles.
The VAT return submits.
The accounts produce numbers.

None of that means they're right.

Accounting software is an incredibly powerful tool, but it's exactly that, a tool. Giving someone QuickBooks or Xero doesn't automatically make them an accountant any more than buying a stethoscope makes someone a doctor.

By all means, use the software. In fact, I encourage clients to keep good records and understand their finances.

Just don't assume that because the software accepted your entries, they're correct.

Sometimes the most valuable thing an accountant does isn't pressing buttons, it's spotting the things the software never could.

Another successful interim assignment completed! ✅

Over the past four months, I’ve had the pleasure of supporting a financial services client through one of their busiest periods of the year.

The project included:
• Supporting the year-end audit process
• Assisting with the preparation of the statutory accounts
• Coordinating and preparing statutory financial statements across several international jurisdictions, including Germany, Denmark, Norway and Sweden

It has been a challenging but rewarding engagement, working alongside a great team to deliver a significant volume of work within demanding deadlines.

Interim finance and accounting support can make a real difference when businesses need experienced resource at short notice, whether it’s for year-end, audit, acquisitions, projects or covering key vacancies.
