But a Time to Pay conversation is usually more straightforward than expected.

HMRC will typically want to understand:

- Why you cannot pay the bill in full
- Your current financial position
- What you can realistically afford each month
- It is a conversation, not an interrogation.

Being honest, prepared and realistic gives you a much stronger chance of agreeing an affordable payment plan.

The hardest step is often making the call.

But leaving it until the last minute rarely makes the problem easier.

Cashflow problems happen.

A customer pays late.
A project overruns.
A van suddenly needs repairing.
Payroll still has to be covered.

None of that makes you a bad business owner.

But avoiding the VAT deadline can make an already difficult situation much more expensive.

The earlier you act, the more options you have. HMRC may allow you to spread the bill through a Time to Pay arrangement, rather than paying everything at once.

If all your business money is sitting in one bank account, it’s very easy to think you have more available than you actually do.

Some of that cash belongs to HMRC. Some needs to keep the business running. And some should be helping you build wealth outside the business too.

I like to think of it as 5 separate money pots:

Business

1. Operating
2. Tax
3. Profit / reserves

Personal
4. Main account
5. Wealth

You don’t necessarily need five separate bank accounts either - many banks let you create pots within one account.

The important bit is giving your money a purpose, so you can see what’s actually available to spend, invest or take out of the business.

Imagine your labour cost increases by £15 per operative each day.

For a team of five, that’s:

👉 £75 extra each day
👉 £375 over a five-day job
👉 £18,750 across 50 projects

That is nearly £19,000 of profit gone simply because your pricing did not keep pace with your costs.

And that is before you include increases in:

Materials
Fuel
Insurance
Vehicles
Other overheads

Small increases do not stay small for long.
