When you’re thinking about buying a new car, your brain doesn't just stop at "Ooh, pretty color." You immediately start running the adult math:

What is this going to do to my insurance premium?

When exactly does the payment auto-draft from my account?

Should I do bi-weekly or monthly to match my paychecks?”

You crunch the numbers because you don't want to accidentally bankrupt yourself for a sunroof.

Yet, when it comes to business, so many clinic owners buy new equipment, sign software contracts, or commit to hefty recurring fees without considering their cash flow.

Before you swipe that clinic credit card, you need to be asking the exact same questions:

What major bills are coming due in the next 30 days?

What is our expected patient volume and revenue next month?

Do we actually need this new subscription, or is it just shiny object syndrome? (Hey, I'm guilty here too!!)

Without a clear cash flow forecast, how are you making these decisions? I'm genuinely curious. Operating on a gut feeling isn't a business strategy.

Your Jane sale was $500, but your bank deposit was $495 and yet, you just categorized the $495 to your sales account.

So many platforms remove their fees before you receive the deposit.

If you log the final deposit as your revenue, you are making three massive mistakes:

1. Underreporting your income. Your actual sales are higher than the bank deposit.
2. Missing deductions. You aren't tracking your merchant fees, meaning you're missing out on the tax deduction.
3. GST. IF this was a taxable sale, you will be miscalculating your GST and under remitting.

To keep your books accurate and your clinic compliant, you need to record the gross sales from Jane, and then record the processing fees as a separate business expense.

Do I need to charge sales tax on patient fees and retail products?

A lot of medical and healthcare services are considered GST exempt. However, retail items like skin care products, supplements, braces, and aromatherapy oils etc. are not exempt. Meaning you need to charge GST on these items.

To stay audit-proof and compliant with the CRA, you need to track these two revenue streams separately in your accounting software. When in doubt, always verify your specific industry regulations directly on the CRA website!
