Established in 1999 Numbers was originally started to work around the schedules of our 4 children. Initially we worked evenings so I could spend the day with our two youngest children who were still preschoolers. In 2005 we had outgrown my basement, so we moved to an office on Walsh Avenue. We spent 6 years in that location, until we had no room left to move. In November 2011 we moved to our prese

Do too many business owners still rely on their bank balance to tell them how the business is doing?

I think a lot of them do, and it's easy to see why.

Your bank balance is right there, and while it feels like the clearest sign of whether things are going well, it only shows part of the picture.

This is exactly where people can get caught off guard.

Seeing money in the account can create a false sense of security, and seeing it drop can create stress that may not reflect the full story either.

There's a big difference between knowing your bank balance and understanding what your numbers are really saying.

A recent survey by QuickBooks found that only 54% of small business owners say they had a good understanding of financial management before starting their business.

Honestly, that doesn't surprise me, and it probably explains why so many business owners feel unsure about their records, even when they are doing their best to stay on top of things.

That's why I always remind my clients that improving records doesn't have to start with a huge cleanup.

Small habits like separating personal and business spending or reviewing numbers once a month can make a real difference over time, and they make your records easier to trust and to use when decisions need to be made.

If your records don't feel as organized as they should, you're definitely not alone.

Why exactly do so many business owners avoid their books?

From my experience, it's often because the whole thing feels heavier than they want to deal with.

Sometimes it's because the numbers aren't making sense, but more often than not, it's because they don't know where to start, and the longer it sits, the more stressful it starts to feel.

There's a lot of shame around that for some business owners, and I don't think there needs to be.

A lot of good, hardworking people fall behind on their books and it doesn't mean they're careless. Often, it's a sign that they've been carrying too much on their own.

If that sounds familiar, you're not the only one in this situation and you don't have to sort it all out alone.

There's a big difference between staying on top of your bookkeeping each month and trying to catch everything up at the last minute.

In my experience, monthly bookkeeping almost always leads to a better outcome because you are working with information while it's still current and easier to deal with. You have a clearer sense of where things currently stand, and that makes the whole year feel more manageable.

Last-minute catch-up tends to be where the stress really builds, and I see this all the time with clients. By the time they get to bookkeeping, the work has piled up, and even simple questions can take more time to answer than they should.

I think a lot of business owners underestimate how much lighter things can feel when their books are being kept up consistently, and this is a big reason why ongoing support can make such a difference.

We simply improved how their records were organized so the numbers would give them a clearer picture of what was actually happening in the business.

Before that, their system was set up in a way that made decision-making difficult, and they weren't getting the kind of insight that helped them feel sure about what to do next.

Once that changed, they were able to see their financial picture more clearly and make decisions with more confidence because they were no longer trying to piece everything together on their own.

This is why even a small improvement can matter so much to a business.

When your records give you useful information instead of just raw numbers, it becomes much easier to plan and make better decisions for the business.

Are too many business owners relying on their bank balance to tell them how the business is doing?

I think that is true for a lot of people, but the trouble is that your bank balance only tells part of the story.

It doesn't show you what you owe or what's on the horizon, and while it may look healthy, this is where business owners often get caught off guard.

There's a big difference between seeing money in the bank and understanding what's really happening in the business. And when you understand your numbers, you have a much stronger foundation for making decisions.

Have you noticed how easy it is to fall behind on your books once the year gets busy?

This happens so quickly, and I see it all the time with clients.

𝗠𝘆 𝘀𝘂𝗴𝗴𝗲𝘀𝘁𝗶𝗼𝗻 𝘁𝗼 𝗶𝗺𝗽𝗿𝗼𝘃𝗶𝗻𝗴 𝘁𝗵𝗲 𝘀𝗶𝘁𝘂𝗮𝘁𝗶𝗼𝗻 𝗶𝘀 𝘁𝗼 𝗺𝗮𝗸𝗲 𝘁𝗵𝗲 𝗽𝗿𝗼𝗰𝗲𝘀𝘀 𝘀𝗶𝗺𝗽𝗹𝗲𝗿 𝗯𝘆 𝘀𝗲𝘁𝘁𝗶𝗻𝗴 𝗮 𝗿𝗼𝘂𝘁𝗶𝗻𝗲.

Set one regular time each week to review your books, enter what needs to be entered, and deal with anything still outstanding before it has a chance to pile up.

Try to keep that appointment with yourself small enough so that you'll actually stick to it, even during a busy week.

You need a goal that's realistic enough to keep working when business gets busy.

One of the simplest ways to stay on top of your books this year is to stop thinking of it as a big project.

People tell themselves they need a full day and most of the time, that day never comes.

What tends to work better is one small habit done consistently.

Even setting aside a short block of time once a week to review transactions, organize receipts, or check what still needs attention can make a big difference over time. It keeps things from piling up and makes tax season far less stressful when it next comes around.

You don't need a perfect system to be more on top of your books, but you do need a habit you can easily stick with.
