The Role
We are seeking an experienced and highly organised Practice Manager / Receptionist to support the smooth and efficient operation of our accounting practice. This role is central to the day-to-day management of the office and client experience, combining practice management responsibilities with front-of-house reception duties.
The successful candidate will play a key role in supporting our accountants, coordinating office operations, and ensuring systems and processes run effectively.
Key Responsibilities
Practice Management & Administration
• Oversee daily office operations and ensure efficient workflow
• Provide administrative and practice management support to accountants and staff
• Assist with ASIC secretarial administration and compliance (where applicable)
• Liaise with the ATO and other external bodies as required
• Maintain and manage client records, files, and document systems
• Assist with data entry and use of accounting software systems
• Support implementation and maintenance of office procedures and systems
Reception & Client Services
• Greet clients and visitors in a professional and welcoming manner
• Answer and manage incoming phone calls and emails professionally
• Schedule appointments and manage meeting rooms
• Handle incoming and outgoing mail and deliveries
• Maintain reception and common areas to a professional standard
About You
• Previous experience in a practice management, senior administration, or receptionist role within professional services (accounting experience highly regarded)
• Experience using accounting software such as Access Handisoft, Xero, MYOB
• Experience with ASIC secretarial management (desirable but not essential)
• Experience communicating with the ATO (desirable but not essential)
• Strong organisational skills with excellent attention to detail
• Confident and professional communication and phone manner
• Proficiency with Microsoft Office and general office systems
• Ability to prioritise tasks, work independently, and manage competing deadlines
