Still keying in bills and receipts by hand? Xero's about to make that faster.

Smart Document Capture is now in beta here in Australia. Send a bill, receipt, or invoice into Xero, however you get it in (the app, forwarded email, or a straight upload), and it's read and ready for review in about 30 seconds. It used to take up to 24 hours.

What it actually does:

βœ“ Reads the whole document, not just a quick scan, and gets sharper over time
βœ“ Handles itemised receipts and rental statements line by line, not just the total
βœ“ Checks for duplicates so the same bill doesn't end up in your books twice

⚑ Quick reality check: this is a beta feature. GST field extraction isn't live yet, so that's still worth a manual check for now. We're testing it alongside our clients before it becomes business as usual, not switching everything over blind.

Less time chasing paperwork, more time actually running your business. That's the direction this is heading.

Have you tried this feature yet? Let us know your thoughts in the comments.

Two birthdays, one very good week at Diverse. πŸŽ‚

This week we're celebrating Kelsie Cann and Swapna Lavu, two of the people who make this team what it is.

One of the quirks of being a 100% remote team is that we can't do the office cake trolley. So instead, we do this: a very public, very genuine shout-out to two people our clients and colleagues are lucky to have.

Kelsie and Swapna, happy birthday from all 34 of us, scattered across the country but celebrating with you this week. πŸŽ‰

Enjoy your days. You've more than earned them, it's been quite a season in bookkeeping land. πŸ˜…

Not sure if Diverse is right for your business? Good. Let's figure it out properly. πŸ‘‡

Here's the thing, outsourcing your bookkeeping is a big call. You're handing over your numbers, your payroll, your compliance. "Just book a call" can feel like a leap when you don't know us yet.

So here's the no-pressure path:

Step 1: Start with the freebie. 🎁
Grab our Freebie: 10 must-knows to accurate financial reporting with Xero β€” link in bio. It costs you nothing, and you'll get a feel for how we think about bookkeeping. If it's useful, that tells you something.

Step 2: Do a quick gut-check. βœ…
Are your reports arriving too late to act on? Is BAS time stressful when it shouldn't be? Are you making decisions on numbers you don't fully trust? If you nodded at any of those, keep going.

Step 3: Book a discovery call. πŸ“ž
It's a conversation, not a sales pitch. You'll chat with Sarah from our team about where your books are at and what "done differently" would look like for your business. If we're not the right fit, we'll tell you, and point you in the right direction.

That's it. No lock-in contracts hiding at step 4. Just a straight line from "curious" to "clear."

Because you can't decide confidently when you're guessing, about your numbers or your bookkeeper.

Start with the freebie. The link is in the bio. 🎁

Every quarter, our leadership team stops working in the business, and spends a day working on it. 🧭

A couple of weeks ago, we held our quarterly strategic meeting: direction, priorities, and the honest conversations about what's working and what needs to change over the next few months.

Here's why we're sharing that.

It's the exact advice we give our clients, and the exact habit most business owners skip. When you're buried in the day-to-day, the big-picture stuff always feels like something you'll get to "when things quiet down." (Spoiler: they never do.)

But the businesses that grow with intention all have this in common: they make time to zoom out. Regularly. On purpose. With the numbers in front of them.

You don't need a leadership team to do it. You need a date in the calendar, your latest reports, and the discipline to ask: are we heading where we want to go?

When did you last take a step back from your business to look at the whole picture?

And if you'd want real numbers in front of you when you do, that's where we come in. πŸ“Š

One year ago today, Amanda Locke joined the Diverse team. πŸŽ‰

And honestly? It feels like she's been here far longer, in the best possible way.

Twelve months of care, consistency, and showing up for our clients, day in and day out. That's the stuff that doesn't always make headlines, but it's exactly what Diverse is built on.

Amanda, thank you for a brilliant first year (and congratulations on stepping into your new role as Team Leader along the way!). Our clients are lucky to have you. Our team even more so. πŸ’š

Cashflow was already hard. Payday Super just changed the game. πŸ’Έ

Let's be honest about what's happened since 1 July: money that used to sit in your account for up to three months, helping you cover quiet weeks, big supplier bills, seasonal dips, now leaves every single payday.

Same super. Same amounts. Completely different rhythm.

For a lot of 6–7 figure service businesses, that's not a compliance problem. It's a cashflow problem. The quarterly buffer you didn't realise you were relying on is gone.

Here's our encouragement this month: don't white-knuckle it alone.

Reach out to your bookkeeper. Your tax agent. Your financial planner. Ask the question: "Is my business actually set up for the year ahead?" The businesses that will handle this transition well aren't the ones with the most cash, they're the ones with the clearest picture of it.

Because you can't grow a business confidently when you're guessing. And cashflow guesswork is the most expensive kind.

πŸ“ž If you want to start with your books, that's us.

Payday Super is here. The ATO just told us exactly who they're coming after. πŸ‘€

Since 1 July, super is meant to be paid every payday, not quarterly. And the ATO has now released its compliance approach for year one (PCG 2026/1). Here's the honest translation:

🟒 Low risk: You're paying super each payday and fixing errors as soon as you spot them. The ATO has said you won't be the focus of compliance activity. Keep going.

🟑 Medium risk: You're still paying quarterly, like it's last financial year. The ATO will get to you, just after they've dealt with...

πŸ”΄ High risk: Unpaid super beyond the old quarterly due dates. This is where ATO compliance resources are heading first.

The key message from the ATO: this first year supports employers making a genuine effort to comply. It's not a grace period for businesses choosing to stay on quarterly payments.

And a practical note: if your super payments aren't landing in employees' accounts within 7 days, don't panic and don't stop. Keep paying each payday, fix errors as you're made aware of them, and you're exactly where the ATO wants you to be.

Still running quarterly super? That's a conversation to have this month, not next quarter.

Proof that a remote team is anything but distant. πŸ₯‚

A few of our Sydney-based team members caught up earlier this month for a long lunch. Great food, better company, and not a spreadsheet in sight.

Swapna, Lisa, Michael, Kylie and Kate - thanks for the reminder of what makes this team special.

We've been 100% remote since day one, and catch-ups like this are part of how we make it work. Different cities, different desks, one team.

Here's to the next one. πŸ™Œ

The biggest compliment in our industry? It's not the Google review. πŸ’¬

It's when accounting firms β€” the people who see bookkeeping up close, every single day β€” refer their own clients to us.

Lately, we've had a steady stream of referrals coming through from accountants. And here's the part that means the most: some of these firms have internal bookkeepers retiring, and instead of replacing the role in-house... they're sending that work to us.

Think about that. The professionals with the highest standards for clean books, accurate coding and lodgement-ready files are choosing Diverse to look after their clients.

That's not luck. That's 34 people doing careful, consistent work across 450+ clients, every single day, and it's the standard we hold ourselves to whether anyone's watching or not.

To the accounting firms who trust us with your clients: thank you. We don't take it lightly.

And if you're a business owner wondering whether your books would pass an accountant's sniff test, that's exactly the standard we work to.
