Summer can be great for café sales.
But it can also throw your numbers off quickly if you’re not paying attention.

Customer traffic changes.
Schedules change.
Cold drink sales increase.

And if labor doesn't adjust along with it, profitability can slip faster than people expect.

This is a good time to start watching trends instead of relying on gut feeling alone. The numbers usually tell the story much faster.

Every week, you should be looking at your sales and your labor ratio. This allows you to adjust quickly when it gets out of line.

As we reviewed this client’s expenses together, we noticed they were still paying for several old software licenses tied to former employees.

The charges had been quietly renewing month after month without anyone noticing.

If something is killing your profitability and you’re not sure what it is, go look at your labor costs.

Labor is the number one expense most businesses have.

The good news?
It’s also the thing you usually have the most immediate control over.

Unlike facility costs or many vendor costs, staffing can be adjusted week to week.

Start paying attention to labor versus sales.

Dial in your sweet spot so you know quickly when things start drifting too high or too low. (Hint: for most businesses, your sales should be about 2x your total salaries/wages)

The other things matter too. But when labor is in line, it becomes much easier to build a profitable business.

National Donut Day feels like a good time to talk about profit margins 🍩

Because small items are often where we see businesses underpricing without realizing it.

Things change and you don't always see it:

Ingredient costs go up.
Vendor pricing changes.
Waste happens.

But if you're not reviewing your own pricing, you're losing margin. And over time, it adds up.

We recommend reviewing your pricing 1-2 times per year, depending on your setup and how quickly your costs change. If your gut is saying costs are going up, set aside time in your calendar this month to open that spreadsheet and see if you need to raise prices on any of your items or offerings.

Do you know how your business is actually doing?

Not just whether you’re busy.
Not whether money is coming in.
But whether the numbers are moving in the right direction.

This is a good time to go through a quick checklist:

➡️ Sales trends
➡️ Profitability
➡️ Labor costs
➡️ Cash flow
➡️ Whether you’re actually paying yourself consistently

A lot can change in six months. And small issues are much easier to fix now than they are at the end of the year.

You’ve probably heard: revenue is vanity, profit is sanity.

And yes—profit is absolutely the goal.

But here’s the thing... you can’t have profit without enough sales to support it.

There’s a baseline your business needs to hit just to cover basic expenses. This should be your first focus when starting a business: building sales to that baseline level.

And if you’re not paying attention to your revenue, it’s easy to miss when things start to slip.

Start simple:

✅ Look at your sales every week.
✅ Watch for patterns.
✅ Notice when things feel off.
✅ Make small adjustments before they become bigger problems.

Profit is the end goal, and we can talk about managing margins and expenses to build profit.

Memorial Day weekend is here.

Cue the sunshine, cookouts, road trips, and a little extra time to relax.

For many small business owners, Monday may still be a workday.
But however you’re spending it, we hope there’s a moment to pause.

Because Memorial Day is about remembering and honoring the brave men and women who gave their lives in service to our country.

Sometimes, small cash differences don’t seem like a big deal.

A little short one day.
A little over the next.

It happens, especially in busy environments where cash is moving quickly.

But without a consistent process to count and verify it, those small differences can go unnoticed and start to add up.

As we were reviewing this client’s numbers, we noticed their cash deposits didn’t consistently match their POS. We dug in, identified the gaps and helped them put a simple process in place to track and verify cash daily.

𝗠𝗼𝗻𝗲𝘆 𝗳𝗼𝘂𝗻𝗱 ➡️ difficult to quantify, but we have had to write off thousands for clients that were not tracking properly

Cash doesn’t leave a clear trail, which is why having the right process matters. Small inconsistencies can turn into real money if they aren’t caught early.
