You’ve probably heard: revenue is vanity, profit is sanity.

And yes—profit is absolutely the goal.

But here’s the thing... you can’t have profit without enough sales to support it.

There’s a baseline your business needs to hit just to cover basic expenses. This should be your first focus when starting a business: building sales to that baseline level.

And if you’re not paying attention to your revenue, it’s easy to miss when things start to slip.

Start simple:

✅ Look at your sales every week.
✅ Watch for patterns.
✅ Notice when things feel off.
✅ Make small adjustments before they become bigger problems.

Profit is the end goal, and we can talk about managing margins and expenses to build profit.

Memorial Day weekend is here.

Cue the sunshine, cookouts, road trips, and a little extra time to relax.

For many small business owners, Monday may still be a workday.
But however you’re spending it, we hope there’s a moment to pause.

Sometimes, small cash differences don’t seem like a big deal.

A little short one day.
A little over the next.

It happens, especially in busy environments where cash is moving quickly.

But without a consistent process to count and verify it, those small differences can go unnoticed and start to add up.

As we were reviewing this client’s numbers, we noticed their cash deposits didn’t consistently match their POS. We dug in, identified the gaps and helped them put a simple process in place to track and verify cash daily.

Cash is one of the biggest problems we uncover when cleaning up books for new café clients — often involving thousands of dollars that can’t be traced.

Why? Because cash doesn’t leave a digital trail.

When your POS says one thing and your actual cash deposits say another, there’s often no way to go back and figure out exactly what happened. That missing money can quietly add up over time without anyone realizing it.

If your café accepts cash, strong cash-handling procedures are essential:

• Know your end-of-day cash count process
• Reconcile cash against your POS every day
• Have a clear deposit routine
• Always know what should be in your safe

We’ve seen too many café owners lose money simply because these systems weren’t in place.

Sometimes, money keeps going out long after it should.

This has happened more than once: a client paid off a loan, but the autopay was never turned off. The payments continued for months, unnoticed.

As we were reviewing their transactions, we spotted the recurring charge, flagged it and helped them contact the lender to stop the payments and request a refund.

Labor is usually your #1 expense.

So don't schedule staff based on gut feelings.

The better approach? Start looking at your data.

Pay attention to your labor % each week (payroll dollars divided by net sales).

Over time, you’ll start to see patterns: when you’re overstaffed, when you’re stretched too thin and what “normal” actually looks like for your business.

Most cafés land somewhere in the 25–35% range, but your ideal number is your number.

Once you know it, you can make small adjustments quickly instead of realizing months later that something’s off.

That’s when labor stops feeling like a guessing game… and starts feeling manageable.
