Did you know there’s an *actual* definition for tax-ready books?

At least, at Abacus360 Bookkeeping, here’s what we want to see before we hand off your financials to your CPA:

→ All income + expenses categorized (no missing months)

→ Bank + CC accounts reconciled to your bank statements

→ Any loan balances, payroll, merchant accounts, or sales tax tied out to support documents

→ Owner’s draws + contributions clearly documented

And yeah, you could totally do this all yourself, or you could just leave it to me! 😜

So, spoiler alert, I don’t do taxes...

I actually get this question more than you’d think, so here’s how I *do* help with your taxes (without actually filing your return):

When it comes to filing your tax return, it all starts with clean bookkeeping! 📚

Your tax accountant needs to know exactly how much you spent on each type of expense to put the correct number in the right place on your tax return.

They also need to know what your income *truly* is. If the income shown on your financials is underreported, you risk getting hit with penalties + interest. 🫣

And if you’re reporting too much income, you’re going to pay too much in taxes!

So no, I’m not filing your return, but my work as your bookkeeper is a key part of your tax season! 💸

3 reasons your bookkeeper should be tracking subcontractor insurance (and most don’t)

Most bookkeepers just file your 1099s and call it done. But if you’re a trades contractor, that’s not enough. Here’s what happens when your records aren’t audit-ready:

1️⃣ Missing COIs = Surprise Bills
Your sub didn’t have workers comp insurance? That $100K you paid them just got added to YOUR workers comp premium during the audit. I track which subs have provided current COIs so you’re never caught off guard.

2️⃣ Expired Coverage = Your Problem
Your electrician’s COI expired in June but worked through December? You’re liable for those months. I flag expiring coverage dates before it becomes an expensive problem.

3️⃣ Messy Records = Failed Audits
Auditors want to see W-9s, signed agreements, valid 1099s, AND matching COIs. I keep all your contractor documentation organized and audit-ready - whether it’s the IRS, workers comp, or state agencies.

Here’s what sets me apart: I don’t just do your books. I build systems that protect your business from surprise audit charges.

My trades clients get:
✅ COI tracking system with expiration alerts
✅ Complete contractor documentation files
✅ 1099s filed correctly and on time
✅ Records that match insurance audits

This is bookkeeping built for contractors - not just data entry.

It’s officially time to take down your Christmas lights, put away those ornaments, and pay your Q4 estimated tax payment by Monday, January 15th! 📆

These are your “pay-as-you-go” tax payments that you most likely need to make if you’re self-employed or earn other taxable income that isn’t being withheld.

How much do you pay? ↓

Ask your tax accountant for estimated tax vouchers that show your recommended quarterly payment based on safe harbor rules (aka the amount to pay to avoid penalties + interest). 💸

Okay, okay, and *how* do you pay?

→ IRS Direct Pay
→ IRS Online Account
→ IRS2Go App
→ Mail a check with your Form 1040-ES voucher*

P.S. Keep records of exactly how much you pay in estimated taxes; your tax accountant needs this to prepare your return accurately. ✍️

*If you pay by check, your payment must be postmarked by the due date to not be considered late.

If it’s giving stress, bookkeeping burnout, or misalignment... it is OUT in 2026! 👋

2026 is the year for:

→ Outsourcing outside of your zone of genius (aka buying back your time)

→ Paying yourself consistently

→ Saying “no” to things that aren’t bringing you joy in your business

→ Tapping into your soft CEO era

2026 is the year your business helps you achieve your dream life! 🌟

God knew what He was doing in 2025.
My marriage. My stability. My confidence. All torched. Full dumpster fire.

It hurt. It left me raw. I spent a lot of this year wondering what was even left.

But sitting here on New Year’s Eve, I finally see it. He burned down what I was white-knuckling so He could rebuild me into who He actually called me to be.

2025 was the fire. 2026 is the foundation.

Stronger. Clearer. Less nonsense. More trust. More surrender.

I’m not the same person I was in January. She’s gone. Threw her in the fire too.

Here’s to the rebuild.
