**Your Bookkeeper Should Do More Than Record Transactions.**

Good bookkeeping isn't just about keeping the IRS happy.

It's about helping you understand your business.

Are you charging enough?

Are your expenses increasing faster than your revenue?

Which customers still owe you money?

Can you afford that next big purchase?

Reliable financial records help you start answering these questions.

At Harding Business Enterprises, I believe business owners deserve more than numbers on a report.

**They deserve financial clarity they can actually use.**

If you're ready to understand what your numbers are telling you, let's talk.

**Your bank balance is NOT your profit.**

Seeing money in your business bank account feels good. But that number doesn't tell you how much your business actually earned.

Some of that money may be needed for upcoming bills, payroll, sales taxes, loan payments, or other obligations.

And some of your revenue may not have been collected yet.

That's why your bank balance and your Profit & Loss report tell two different parts of your financial story.

**The goal isn't just to have money in the bank. It's to understand what that money needs to do.**

When was the last time you reviewed your financial reports alongside your bank balance?

**QuickBooks Tip: Reconcile Your Accounts Every Month.**

Just because your transactions are showing up in QuickBooks doesn't mean everything is correct.

Bank feeds can contain duplicates, missing transactions, or items that need to be reviewed.

Reconciliation helps you catch discrepancies by comparing your accounting records with your bank and credit card statements.

Think of it as a monthly financial checkup.

**Accurate books start with consistent habits.**

Are your business bank and credit card accounts reconciled through last month?

I've been spending more time exploring how AI can help small business owners understand their financial information.
And I'm impressed by what it can do.
Give AI the right financial information and it can help identify patterns, summarize reports, and even point out questions worth investigating.
But there's an important catch.
AI doesn't automatically know your business.
It doesn't know that you bought a truck because you're expanding. It doesn't know that one customer always pays 30 days late. It doesn't know why labor was unusually high on a particular job.
And if the bookkeeping going into the analysis isn't accurate, AI can confidently analyze the wrong numbers.
AI can help us ask better questions.
Good bookkeeping and human judgment help us understand the answers.
That's where I think this technology gets really interesting for small businesses.
Would you be interested in seeing an example of how I use AI to analyze financial reports?

I spend a lot of time helping business owners understand numbers they feel like they should already understand.
Here's the thing: knowing how to run your business and knowing how to read financial reports are two different skills.
So let's try something different.
What is one thing about your business finances, bookkeeping, or QuickBooks that you've always wanted someone to explain in plain English?
No accounting jargon.
Drop your question below—or send me a message if you'd rather ask privately.
I'll use some of the questions for future "Ask Desiree" posts.

Your Profit & Loss report says the business made money.
Your bank account says otherwise.
Both can be true.
Some of your profit may be sitting in unpaid customer invoices. Some may have gone toward loan payments, equipment purchases, inventory, or other transactions that don't show up on the P&L the way you might expect.
That's why looking at only one report doesn't always tell you the whole story.
When I review a business's numbers, I'm not just looking at whether it made a profit. I'm looking at where the money went.
That's when the numbers start becoming useful for making decisions.
Does your P&L ever tell you one story while your bank account seems to tell you another?

Your business can be profitable overall while one service, project, or job quietly loses money.

This Monday, choose one completed job and compare:

• Revenue earned
• Labor time
• Materials or supplies
• Contractor costs
• Other direct expenses

Looking at each job separately can help you understand which work supports your business and which work may need a pricing or process adjustment.

You made the sale and completed the work, but has the payment arrived?

An accounts receivable aging report groups unpaid invoices by how long they have been outstanding. Reviewing it regularly can help you spot slow-paying accounts, follow up consistently, and make better cash-planning decisions.

Try adding a 15-minute invoice review to your Monday routine:

Check which invoices are due or overdue.

Confirm that each invoice reached the correct contact.

Send friendly, consistent reminders.

Record any promised payment dates.

Need help creating a more organized invoicing and follow-up process? Send Harding Business Enterprises a message.

A profitable business can still have unprofitable jobs.

If you are not tracking labor, materials, subcontractors, and other direct job costs, you may be bringing in revenue without knowing what you actually kept.

Job costing helps you answer the questions that matter:

Which jobs make money?

Which jobs drain your cash?

Are your estimates accurate?

Where should you adjust pricing?

Revenue is not the same thing as profit.

Let’s get your numbers organized so you can make decisions with confidence.
