That gift card belongs in payroll.

It surprises a lot of business owners during employee-appreciation season.

Cash, gift cards, and similar cash equivalents are generally taxable wages. If they never go through payroll, withholding and W-2 reporting can be off. ([irs.gov](https://www.irs.gov/publications/p525?utm_source=openai))

A low-value traditional item, such as a ham or turkey, may be treated differently. The category matters. ([irs.gov](https://www.irs.gov/publications/p525?utm_source=openai))

Before handing out employee gifts, take a moment to classify them correctly. A thoughtful gesture should not create payroll corrections later.

What does your business usually give employees to show appreciation?

Shoving an IRS inquiry into a desk drawer is the most expensive reaction a business owner can have.

If the agency questions your employee retention credit, they give you a tight window to prove your case. Scrambling to pull old payroll files, shutdown orders, and gross receipts math at the last minute usually leads to mistakes. A structured file with clear records protects your operating cash and stops automatic penalties before they start.

Have you had to dig up old payroll paperwork for an agency review yet, or are your records already organized and ready?

Protect your company from costly penalties by organizing payroll records, meeting agency deadlines, and securing expert IRS ERC audit defense.

Buying equipment in December does nothing for your tax bill if the gear sits in a crate until January.

The IRS requires property to be fully placed in service before you can claim Section 179 or bonus depreciation. That means the machinery must be wired up, the delivery van must be licensed, or the office servers must be online and functioning before the calendar flips.

A lot of folks order big assets late in the fourth quarter expecting an immediate write-off. Then supply delays push installation past New Year's Day, and the deduction vanishes for the entire tax period.

Are you planning any major equipment or vehicle additions before the year wraps up?

Writing estimated tax checks based on last year's revenue is an easy habit to fall into. Most business owners keep sending the exact same quarterly amount without checking their actual margins. If your revenue shifted, you end up handing over an interest-free loan to the government or facing a sudden underpayment penalty. Reviewing your actual numbers before the final deadlines saves cash when you actually need it. How often do you adjust your estimated vouchers during the year?

Most audit notices do not start with a human auditor opening your file. They start with an algorithm matching your tax return against the numbers your payment processor reported.

If your credit card processor reports one total and your tax return shows another, an automated flag gets triggered before anyone even reads your explanations. Reconciling those numbers on a monthly schedule keeps simple rounding errors or merchant fee differences from turning into an unexpected compliance letter.

How often do you balance your processor statements against your actual revenue records? Drop your routine in the comments.

Waiting until the end of the year to review your books usually means paying for mistakes you could have fixed months ago.

Most business owners look at their tax position in December. By then, your revenue is locked, your expense windows are closing, and any surprises from earlier quarters turn into panic checks written to the IRS.

Reviewing your balance sheet right now gives you actual control. You can correct misclassified expenses, plan equipment purchases, and adjust owner draws before deadlines take the options away.

When was the last time you ran a mid-year check on your tax liability? Let me know in the comments.

October 15 is four weeks away. If you filed a tax extension back in April, this one's for you.

Every fall we watch the same two stories play out. The folks who start gathering documents in September cruise to the finish line. The ones who wait until the second week of October end up hunting for missing K-1s, chasing down 1099s, and making rushed decisions that can cost real money.

Two things people forget every year. An extension gives you more time to file, not more time to pay. If you owed a balance, interest has been quietly adding up since spring. And paperwork from partnerships or investment accounts can take a while to track down, which is exactly why this week matters.

The good news: four weeks is plenty of runway when you start now. Pull the documents together, get the books reconciled, and bring your questions to your CPA before the October rush hits.

Genuine question for the group: are you a 'file everything in February' person or an 'extension every single year' person? No judgment either way. We have truly seen it all.
