I’ve been seeing these posts a lot, and they’re a solid reminder that ‘financial abuse’ isn’t a theoretical concept. It’s daily life for a lot of divorcing couples. Although historically it’s been women, we’re seeing an increasing shift in who is the ‘primary earner’ and fun fact? Financial abuse isn’t about gender. It’s about power, control, and refusing to recognize the real value of a partner’s sacrifices for the family.

Embezzlement is a lot like a cavity. It rarely begins with a bombed‑out tooth; it starts small and quietly grows. At first, it only bothers you here and there, then it becomes a more persistent sting, until the pain is so strong you can’t ignore it.

The steps to catching embezzlement early are similar to catching a cavity early. Regular reconciliations and audits are your periodic exams and cleanings. You’d never recommend a patient “wait and see” on a filling once decay has reached the dentin, because you know the longer they wait, the more damage it does. The same idea applies to your books: delaying an internal checkup only gives the fraud more time to spread.

Let’s break down RCM from a crucial preventative perspective: fraud and error reduction!

At its core, preventing RCM risks means separating these four vital functions:

Recording: Entering transactions into your system.

Custody: Handling incoming payments.

Reconciliation: Verifying records against external sources.

Authorization: Approving key transactions.

Here are the MOST critical separations every practice needs to implement:

Charge Entry vs. Payment Collection & Posting: The person entering procedure codes should NEVER be the same person collecting and recording patient payments. (Separates Recording from Custody)

Payment Collection & Posting vs. Preparing Deposits: The individual handling money and posting payments should NOT be the one preparing the bank deposit. (Separates Custody from Reconciliation)

Preparing Deposits vs. End-of-Day Reconciliation: The team member who prepares the deposit should NOT be the one performing the final end-of-day reconciliation. (Further separates Custody/Recording from independent Reconciliation)

Refund/Write-off Approval vs. Payment Posting: The person who posts payments should NEVER be the one approving or processing patient refunds and credit balance write-offs. (Separates Recording from Authorization)
