Tasks to keep you on track

* Regularly invoice clients – Decide the best time, but it should be regularly (weekly, fortnightly or monthly). Include a due date as this helps clients know when to pay by. Regular invoicing helps make sure you don’t forget to invoice anyone and also helps your cashflow.
* Know who owes you money – Keeping track of the money received will easily show which invoices are outstanding and then you can chase outstanding ones.
* Know who you owe money to – Set aside time to pay supplier invoices. This helps to make sure you don’t have any unexpected surprises and keeps you in control. This in turn helps you to understand your bank balance and where the money is going (β€˜Outs’) and also money coming in from clients (β€˜Ins’).
* Regularly keep an eye on your profit – This will allow you to consider your next steps and actions keeping you on track or if you are looking to grow your business. You should also be aware of the VAT Threshold – you must register for VAT if your taxable turnover goes over Β£85,000 in a rolling 12 month period (or if you know it will).

UNDERSTAND YOUR SMALL BUSINESS FINANCES
Firstly understand what you need to do; It is really important to understand the deadlines and requirements to submit information to HMRC. Whether you are self employed or a limited business you will need to record all the money that comes in and goes out of your business. Accounting groups this together so that you can see what types of income and spending occurs.

SEPARATE YOUR BUSINESS AND PERSONAL ACCOUNTS
This is one of easiest ways to organise and simplify your accounts. It will then allow you to see exactly what your expenses are and the income you are receiving.

SORT OUT YOUR PAPERWORK AND ACCOUNTING SYSTEM
Set time in your calendar to deal with your finances and admin – try to get in the habit of staying on top of things, it will help.

An accounting app or system can help you to manage your accounts – many are now available on your phone or PC or you can use an excel spreadsheet. A spreadsheet is simple for small businesses and as they grow or for larger business it can be easier to use a package that allows you to send invoices easily online.
