Now this is the kind of start to an email we LOVE to get!

In our latest blog, we talk about what we've got up to throughout our charity partnership. Our Community Champion, Jill, perfectly summed up what this partnership has meant to us:

“Cancer Card is an incredibly focussed charity which has helped so many people find the support they need when they are diagnosed with cancer, and we have been very privileged to be able to help them over the past year as our charity partner.

As a small office, many of whom work from home, we have all enjoyed supporting Cancer Card over the last year. I personally loved walking the Kiltwalk for the charity, marching through areas of Edinburgh and East Lothian I hadn’t been to before and being greeted by Lorraine and Gordon at the end.

The April Challenge was great fun, and we managed to raise a lot of money through some fun office missions! The swear/sigh challenge in the office was great fun as well as we quickly realised we all did both more than we thought and took great pleasure in ‘clyping’ on each other. The step challenge was taken seriously, and the team managed to walk an eye-watering 2,315,106 steps in April, averaging 9,646 steps per day - that’s a lot of walking!”

Business Owners - do you have control of your own Government Gateway (Business Tax) account?

It looks like this 👇

From here - you can see your business taxes - Corporation Tax, VAT, PAYE etc.

And then - you can see how much tax you owe, whether returns have been filed, look back at the history of filings - and see when payments are due. You can also manage direct debits. 💪

You can also manage your tax agents - so you get to appoint what accountant deals with what tax.

🚩🚩Your accountant SHOULD NOT control your business tax account. They should have their own access via agent accounts. If your accountant has this access - it is very likely you do not. 🚩🚩

We have taken on clients where:

⁉️ they haven't known if VAT returns were filed. What they did know was that they were being inundated with demand letters from HMRC for unpaid VAT, penalties etc.

🆘 Corporation tax hadn't been filed. At all.

💰 They had a large credit on the PAYE account just sitting there. It arose from the payroll providers not deducting Employment Allowance repeatedly - and so a large credit had accrued. HMRC are likely to write to you - but you should have ready access to this stuff.

The latest HMRC Agent Update (126) includes a reminder to agents that "there are no circumstances in which it is acceptable for an agent to directly control a client's online tax account, or register said account to their own email address."

It goes on to say that "The HMRC standard for agents also explicitly states that agents must never ask any client to share their Government Gateway user ID and password"

🚩🚩 If your accountant has your Government Gateway log in details - please ask them to give you the details, change the password and authorise them through their agent account. 🚩🚩

Over the past two years, we’ve been proud to partner with Cancer Card and Edinburgh Foodbank, raising over £8,000 – and having a lot of fun!

Together we’ve:
- Walked the walk at Kiltwalk 🥾
- Shaken buckets at Waverley 🪣
- Deployed the Accountability cheer team to the Edinburgh Marathon 📣
- And packed comfort boxes and food parcels with care 🫶

My accounting software handles my VAT Returns, I just press submit each quarter 🚩

Reality: The accounting software can calculate the VAT, but only if the data is entered accurately.

For example, Jimmy is a sole trader and runs a construction business. He does his own bookkeeping and uses cloud software to submit his VAT returns. No accountant, no checks - just a few clicks each quarter.

The issues:
🫣 VAT claimed on business entertainment
🫣 VAT claimed on personal expenses paid with the business card
🫣 International software subscriptions incorrectly treated
🫣 Sales invoices missing VAT, even though they were standard rated
🫣 A duplicate supplier invoice - doubling the VAT claim
🫣 VAT applied to unclear transactions without proper documentation

The Risk:
😖 Inaccurate VAT Returns
😖 Overclaimed input VAT
😖 Risk of HMRC penalties or investigation

Here’s what we would put in place
✅ Correct VAT codes for all affected transactions
✅ Amend previous VAT returns
✅ Set up rules and checks on recurring transactions to ensure consistency
✅ Introduce monthly bookkeeping reviews
✅ Deliver training for Jimmy to understand how to use his software confidently and correctly

Pressing “submit” is the easy part. It’s knowing what you’re submitting that really matters. Accounting software doesn’t question if an expense is personal, if reverse charge VAT applies, or if something is missing. It only processes what it’s given.

That’s why training is essential. When you understand how to use your accounting system properly and what HMRC expects - you reduce risk, stay compliant, and take control of your finances with confidence.

We are delighted to share that Freya has been promoted to Senior Bookkeeper.

Freya joined us in June 2025 – and we can’t imagine a time without her. Her calm, can-do attitude, consistently delivering high-quality work, and willingness to support those around her make her an invaluable member of the . It’s absolutely no surprise that everyone here has nothing but good things to say about Freya.

She has also recently started studying AAT Level 4 – and we’re all excited to support her as she continues to progress! Congratulations Freya!
