Today I’m sharing something super practical that every business owner needs to know:
What MUST be included on a valid VAT receipt/invoice 📋
To stay fully compliant and avoid any headaches with tax authorities, make sure your VAT receipts include ALL of these details:
✅ A unique, sequential invoice number
✅ The seller’s business name, address, and VAT registration number
✅ The buyer’s business name and address
✅ The date the invoice was issued
✅ The tax point (or time of supply), if it’s different from the invoice date
✅ A clear description of the goods or services supplied
✅ The quantity of each item
✅ The price per item (excluding VAT)
✅ The rate of VAT charged per item
✅ The total amount, excluding VAT
✅ The total amount of VAT charged

💡 If you earn £1,000 or more in a tax year (6 April – 5 April), it’s time to treat your side hustle as a business.

✅ Tips for a Smooth & Stress-Free Start:

💳 Open a separate business bank account (if it’s free — even better!)

🏷️ Pick a business name that reflects what you do

📂 Keep personal and business expenses separate — always

🧾 Save every receipt, invoice & record for at least 5 years (including the current tax year)

🎯 Getting set up properly means less stress at tax time and more confidence in your growing business.

Why did I turn down a potential client today?

Today I received an enquiry that stopped me in my tracks: “How can we make the profits look smaller so the children won’t receive child maintenance?”

I reread it several times, trying to understand why anyone would choose to disadvantage their own kids. Life can be complicated, but responsibility to our children doesn’t end until they’re adults—and doing the right thing shouldn’t be optional.

As a bookkeeper, my job is to help businesses stay compliant, grow sustainably, and sleep well at night. I do not and will not assist with tax evasion, benefit fraud, or any attempt to hide income to avoid legal or moral obligations. Integrity is non-negotiable here.

If you’re looking for support that’s transparent, ethical, and fully HMRC-compliant, I’m the person for you. If you’re looking for shortcuts at the expense of others—especially children—I’m not the right fit.

Getting this right means you don’t overpay tax (and don’t raise HMRC eyebrows 👀).

✅ Allowable (tax-deductible) expenses
• Office costs (stationery, software, phone, internet)
• Travel for business (mileage, train fares, hotels) — not your normal commute
• Marketing (website, ads, business cards)
• Professional fees (accountant, subscriptions, bank charges)
• Home-office portion of utilities/rent (if you work from home)
• Staff costs (wages, employer NI, pensions)

🚫 Disallowable (not tax-deductible) expenses
• Client entertainment (meals, drinks, gifts that aren’t promotional)
• Fines & penalties
• Everyday clothing (unless protective or branded uniform)
• Personal expenses (anything not wholly & exclusively for the business)
• Home-to-work commuting costs

Tip: Keep clear receipts and notes so we can back up every claim. 👍
