Report #4: Cash Flow Forecast.

This is the one report on our list that looks forward instead of back — and it might be the most valuable one for peace of mind.

It takes what's coming — payroll, invoices due, planned purchases, tax obligations — and shows you what your cash position looks like over the next 30, 60, 90 days.

It helps answer:
✔️ Can we comfortably cover payroll next quarter?
✔️ Can we afford this equipment purchase, or should we finance it?
✔️ Is this the right time to hire?

The best time to build this forecast is before you need it — not the week payroll is due.

Last one in the series: the report that shows where your business actually stands — the Balance Sheet.

JOB COSTING SHOULDN'T FEEL LIKE GUESSWORK. 🔨

If you run a trades business, you shouldn't have to wait until the job is finished to find out whether you actually made money.

You should be able to see:
👷 Labour costs
🧱 Materials
🔨 Subcontractors
🚚 Equipment
🧾 Other job expenses
💰 What you've billed
📊 Your actual project margin

The problem?

If those costs aren't being tracked to the right job, your numbers aren't telling the whole story.

And a missed receipt here...
An extra labour hour there...
A billable expense that never makes it onto the invoice...
It all adds up.

Good job costing takes the guesswork out of your projects.

We help trades businesses organize their bookkeeping so they can see what their jobs are actually costing — and what they're actually making.

Because you shouldn't have to guess whether your job was profitable.

Report #3: Job Costing.

If you run project-based work, this is probably the most important number on this whole list.

It compares what a job actually cost — labour, materials, subs, equipment — against what you estimated it would cost.

Without it, you're pricing your next job on a feeling instead of facts.

This report tells you:
✔️ Which jobs came in on budget
✔️ Which ones quietly went over
✔️ Which types of work are actually worth taking on

Busy and profitable aren't the same thing. Job costing is how you find out which one you actually are.

Report #2: Accounts Receivable Aging.

Here's a scenario we see a lot: revenue is up, work is steady, and the owner still feels like cash is always tight.

Nine times out of ten, it's not a profit problem. It's a collections problem.

This report shows you:
✔️ Exactly who owes you and for how long
✔️ Which clients are consistently slow to pay
✔️ Whether your AR balance is creeping up month over month

Getting paid isn't automatic just because you did the work. Watching this number monthly catches the problem before it becomes a payroll problem.

Not ready to hire a full-time controller? You don't have to.

As your business grows, bookkeeping may no longer be enough.

Suddenly you're asking:

→ Are our jobs actually profitable?
→ Where are our margins going?
→ Why is cash flow tight when revenue is up?
→ Can we afford another employee or vehicle?
→ Are we pricing our work properly?
→ What should we be paying attention to in our financial statements?

These are bigger questions than “Are the books up to date?”

That's where a fractional controller can help.

Instead of hiring a full-time controller, get the financial oversight and support you need on a part-time basis.

At Cadence, our highest level of support is designed for businesses that have outgrown basic bookkeeping but aren't ready to add a full-time controller to the payroll.

Think financial reporting, analysis, cash flow forecasting, job costing, budgeting, and financial oversight—all scaled to your business.

You don't have to hire a controller full-time to have one in your corner.

That's what fractional support is all about.

Report #1: the Profit & Loss statement.

You probably already get one of these every month. Question is — do you read past the bottom line?

A P&L can tell you a lot more than "did we make money this month":

✔️ Are costs growing faster than revenue?
✔️ Which expenses are creeping up without you noticing?
✔️ Was this month actually profitable, or just busy?

Most owners check the number and move on. The real value is in what's underneath it.

Next up: the report tied directly to your cash — Accounts Receivable Aging.

You finished the job.

You sent the invoice.

The customer paid.

🎉 Great!

But...did you actually make money?

That's the question your bookkeeping should help you answer.

Because that $50,000 job may have also included:

👷 Labour
🧱 Materials
🔨 Subcontractors
🚚 Equipment
⛽ Extra trips to the site
🧾 Supplies and other job expenses

And what about the costs that never made it into your job costing?

Or the materials you paid for but forgot to bill back to the customer?

Or the extra labour hours that weren't part of the original estimate?

Those costs come straight out of your profit.

That's why we love job costing for trades businesses.

You need to know the difference between:

What you collected💰

and

What you actually made.📊

At Cadence, we help trades businesses keep a close eye on:

🔨 Job costing
👷 Labour allocations
🧾 Billable expenses
📊 Project margins
💰 Cash flow

Because smarter bookkeeping isn't just about keeping your books up to date.

It's about knowing what your business is actually making.

If you're a trades business owner and want better visibility into your jobs and profitability, reach out to us. We'd love to help.

Quick question: when you want to know how your business is doing, what do you actually check?

If you're like most contractors we talk to, it's your bank balance and maybe your outstanding invoices. That's normal — but it's not the full picture.

Over the next five weeks we're breaking down the 5 financial reports every contractor should be reviewing every single month. Not just at year-end. Not just when cash feels tight.

Monthly. As a habit.

First up: the one everyone thinks they already understand. The P&L.

🏗️ B.C. CUSTOM HOME BUILDERS & RESIDENTIAL CONSTRUCTION COMPANIES: ARE YOU TRACKING THE NEW PST EXPENSE IN YOUR JOB COSTING?

Starting October 1, 2026, B.C. is applying PST to certain professional services, including architectural and engineering services.

You may be thinking:

“Okay... but what does that have to do with me?”

Quite a bit.

If you hire architects or engineers for your projects, the PST you pay becomes another cost associated with the project. PST is calculated at 7% of 30% of the purchase price, creating an effective PST rate of 2.1%.

For example:

📐 Architect/engineer fees: $15,000

30% taxable portion = $4,500

7% PST = $315

If you're not accounting for it correctly in your job costing, you may be experiencing margin creep without realizing it.

Now is a great time to review your job costing process before the new PST rules take effect.

👉 Reach out to Cadence. We help construction businesses keep their books organized, their job costing accurate, and their numbers useful for making decisions.

Wrapping up our "why busy doesn't mean profitable" series with the last reason: profit doesn't mean cash in hand.

A business can be genuinely profitable and still feel like it's struggling if the cash isn't landing when it's needed. Slow-paying clients and the gap between paying your crew and getting paid yourself can make a healthy business feel underwater.

Quick check: look at your average days-to-pay on your last 10 invoices. Past 30? That's roughly how long your cash is sitting on someone else's books instead of yours.

So why does a busy business struggle to make money? Usually it's some mix of labour that's underpriced, equipment that isn't paying for itself, overhead that's not accounted for, and cash flow gaps hiding the real picture.

None of it shows up by accident. It shows up because nothing is tracking it. If any of these numbers surprised you, that's exactly what we help you build a system around.
