Often times when we speak to small business owners about bookkeeping, they say:

"I already have an accountant."

Here’s where the confusion lies:
Accounting is not one single service.

It’s a field made up of different parts, just like you have:
• Tax services
• Audit & assurance
• Financial reporting

You also have Bookkeeping.

These are all part of accounting-
but they don’t do the same thing, and they don’t happen at the same stage.

Bookkeeping is the starting point.
It involves capturing your daily business transactions:
• Money coming in
• Money going out
• Account reconciliations to ensure that everything is recorded accurately

Accounting comes after that.
It uses that information to:
• make year-end adjustments for future costs and obligations
• ensure that financial statements comply with accounting standards and legal reporting requirements
• detailed analysis of business performance

So the difference is simple:
Bookkeeping prepares the information.
Accounting uses the information.

If the first step isn’t done properly, everything that follows is affected.

That’s why having “an accountant” doesn’t always mean your books are being properly maintained.

**Cleaning up a Medical Practice***

“Sometimes, cash flow problems aren’t about making money - they’re about what’s left unclaimed or unrecorded.”

In October last year, a medical practice came to us for bookkeeping support.

They already had an accountant, but their day-to-day financial records were not properly maintained. Transactions were inconsistent, and the owner lacked clear visibility of the business’s performance.

After reviewing the books, we found:
▪︎ Transactions not consistently captured
▪︎ Bank accounts not properly reconciled
▪︎ Some tax matters and filings left unresolved
▪︎ The owner did not have clear and reliable monthly financial reports to track business performance

During the clean-up, we also discovered:
▪︎ Medical aid claims from previous months had not been submitted, meaning the clinic had lost tens of thousands in revenue and faced cash flow pressure
▪︎ Some submitted claims had been rejected and part of the income was lost due to claims not being resubmitted
▪︎ Discrepancies between cash co-payments received and bank deposits, highlighting weak cash handling procedures

We helped by:
▪︎ Organizing historical records and updating all transactions
▪︎ Reconciling the bank accounts
▪︎ Following up on unresolved tax matters
▪︎ Identifying unsubmitted claims and revenue gaps
▪︎ Strengthening internal financial controls
