5 Cash Flow Habits Every Business Owner Needs

💰 5 CASH FLOW HABITS EVERY BUSINESS OWNER NEEDS
Profit on paper doesn't pay your wages or your rent — only cash flow does. After 10+ years working with hundreds of business owners across Sydney, I've noticed the most resilient businesses share the same five habits:

1️⃣ Check your bank balance and cash position weekly — don't wait until BAS time.

2️⃣ Invoice as soon as the job is done, and follow up unpaid invoices within 7 days.

3️⃣ Put GST, PAYG and super into a separate account — that money was never yours.

4️⃣ Build a 13-week cash flow forecast — Xero makes this much easier than a spreadsheet.

5️⃣ Review your recurring expenses every quarter and cut what you don't use.

Small habits, done consistently, are what separate businesses that survive tough months from those that don't.
How many of these five are you already doing? Let me know in the comments! 👇

Cash Flow & Bookkeeping: 4 Habits Every Business Needs

Cash flow is the lifeblood of your business — yet many business owners only realise there's a problem when it's already too late.
Here are 4 cash flow habits every small to medium business should adopt:
💰 Forecast your cash flow weekly — Spend 10 minutes every week reviewing your bank balance and upcoming receivables. Knowing your 30–60 day cash position means you can spot trouble early and plan ahead — not react in a panic.

📊 Invoice immediately — every time — Every day you delay sending an invoice is a day you're giving an interest-free loan to your client. Send invoices the moment work is completed. Don't batch them at the end of the month.

🔄 Use Xero's automatic payment reminders — Xero has built-in overdue invoice reminders that send automatically. Turn this feature on and stop wasting hours chasing late payments manually. Your time is worth more than that.

📅 Keep a separate tax account — Every time a payment hits your account, immediately transfer around 25–30% to a dedicated savings account for tax (BAS, income tax, PAYG). This one habit eliminates bill shock at tax time.

EOFY Tax Planning: 5 Smart Moves Before 30 June

End of financial year is almost here — just 20 days until 30 June 2026! This is your golden opportunity to maximise your legal tax deductions before the deadline.

Here are 5 key actions to take right now:
✅ Purchase business assets — If your business qualifies, you may be able to immediately write off the full cost of eligible assets under the instant asset write-off rules. Check with your accountant on current thresholds.

✅ Prepay deductible expenses — Paying expenses like insurance, rent, or annual software subscriptions before 30 June brings forward those deductions into this financial year.

✅ Superannuation contributions — Make sure employee super is paid before 30 June to claim the deduction this year. Business owners can also top up their own super contributions before the concessional cap is reached.

✅ Write off bad debts — If you have outstanding invoices that are genuinely unrecoverable, formally writing them off before year-end reduces your assessable income.

✅ Reconcile your accounts — Ensure your Xero (or other accounting software) is fully up to date and reconciled so your accountant can prepare your tax return accurately and efficiently.
Have you started your EOFY planning? Drop a comment below or reach out to us today for a free consultation — there's still time to make smart tax moves before 30 June!

Hãy đặt lịch Tax Review với BINH AN Business Advisory.

🇦🇺 VIETNAMESE FAMILY MOVED TO AUSTRALIA BUT STILL OWNS A RENTAL PROPERTY IN VIETNAM — DOES IT NEED TO BE DECLARED?

A Vietnamese family moved to Australia as permanent residents.

They had not become Australian citizens yet.

Because of that, they thought:

“We are not Australian citizens, and the rental property is in Vietnam, so we probably do not need to include it in our Australian tax return.”

This is a very common misunderstanding.

For tax purposes, the main question is usually not whether you are an Australian citizen.

The key question is:

Are you an Australian resident for tax purposes?

If you live mainly in Australia, hold PR, have your family and children here, and spend most of the year in Australia, you may be an Australian resident for tax purposes.

Once you are an Australian tax resident, you generally need to declare your worldwide income in your Australian tax return, including rental income from Vietnam. The ATO states that Australian residents must declare foreign income in their Australian tax return, and rental income from overseas properties must also be declared.

This does not always mean you will be taxed twice. If tax has already been paid overseas, a foreign income tax offset may need to be considered, depending on your records and circumstances.

The bigger risk is assuming:

“It is overseas, so Australia does not need to know.”

Problems can arise later when money is transferred to Australia, the overseas property is sold, or the ATO asks questions about foreign income or assets.

Key lesson:

Citizenship and tax residency are not the same thing.

You may not be an Australian citizen yet, but you may still be an Australian resident for tax purposes.

If you live in Australia and still have property, bank accounts, rental income, or assets in Vietnam, it is better to review your tax position before lodging your tax return.

BINH AN Business Advisory helps Vietnamese families understand their Australian tax obligations clearly, especially where they have overseas assets, foreign income, or money transfers.

TẾT – A Moment To Pause, Reflect, And Reset

As another year comes to an end, many business owners (and myself included) may quietly ask themselves the same questions:

Did we grow the way we hoped?
Did we manage cashflow well enough?
Are we building real wealth — or just staying busy?

Lunar New Year is not just about celebration.
It is a natural reset point.

In our culture, we clean the house, settle old matters, prepare offerings, and welcome a fresh start.
In business, the same principle applies.

A new year is a chance to:
• Set clearer financial goals
• Strengthen business structure
• Improve profit, not just revenue
• Make smarter tax and investment decisions
• Build long-term wealth — not short-term survival

At BINH AN Business Advisory, our purpose has always been simple:

To help small and medium business owners build stability, clarity and lasting wealth — so that “Bình An” is not just a wish for the new year, but a reality in your business and family life.

A year of strong and sustainable growth
Confident decisions
And true peace of mind

Chúc mừng năm mới.
Chúc một năm Bình An – Thịnh vượng.

Capital Gains Tax (“CGT”) on selling an overseas property held before migrating to Australia — Case Study

We recently helped a new migrant client who was under a lot of pressure due to uncertainty on the amount of tax payable after selling an overseas investment property which he had for over 12 years

Background
The client purchased an investment property more than 20 years ago, while living overseas and not an Australian tax resident. They became an Australian tax resident around 4 years ago, and recently sold the property.

The challenge
At first glance, the numbers looked scary.
When the client compared the original purchase price to the selling price, the capital gain appeared to be over $1 million, with an estimated tax outcome of around $250,000. Understandably, this created significant stress and uncertainty — especially when you’re trying to plan your finances in a new country.

What we did
We conducted a detailed CGT review to make sure the position was calculated correctly under Australian tax law, including:
✅ Confirming the client’s tax residency timeline and key dates
✅ Gathering supporting documents and verifying ownership and cost base details
✅ Applying the market value substitution rule at the time the client became an Australian tax resident (where applicable)
✅ Preparing a clear CGT working paper and explaining the outcome in plain English, so the client could make confident decisions

The outcome
By calculating CGT based on the market value at the time the client became an Australian tax resident (rather than using the original overseas purchase price), we reduced the client’s tax payable by over $185,000.

More importantly, the client walked away with clarity, confidence, and peace of mind — knowing the tax was calculated correctly and backed by proper working papers.

If you’ve migrated to Australia and are selling (or planning to sell) an overseas property, don’t rely on a simple “buy vs sell” calculation. CGT outcomes can vary significantly depending on your residency timeline and the rules that apply.

📩 Send us a message if you’d like us to review your CGT position.

When paying more tax actually helps you achieve your financial goal 💡

A mortgage broker recently referred a client to me with a situation I’m seeing more and more:

They were trying to get a home loan approved, but the bank kept pushing back because their taxable income looked too low.

The broker’s bigger frustration?
They couldn’t even get in touch with the client’s existing accountant to clarify the numbers, explain the tax return, or provide a strategy to move forward.

So we stepped in and did a proper review — not just “lodging the return”, but making sure the numbers reflected reality and aligned with the client’s goal (getting the loan).

What we found (and fixed)
1) Personal vs business expenses (and apportioning mixed-use items)

A lot of business owners run genuine costs through the business — but some expenses have mixed personal use and should be apportioned (split) correctly.

Examples:

phone / internet

motor vehicle

home office items

devices or subscriptions used partly outside the business

When everything is claimed as 100% business (even unintentionally), it can distort the results and create ATO risk. We cleaned this up and made the reporting defensible.

2) Personal super contributions — used strategically (because the deduction is optional)

Here’s a point many business owners don’t realise:

If you’re a sole trader, contributing super to yourself is not compulsory.

And even if you have contributed personally during the year, claiming a tax deduction on those contributions isn’t always required (subject to the contribution rules and paperwork).

If you claim a deduction (concessional contribution), your taxable income goes down.

If you don’t claim a deduction (non-concessional contribution), your taxable income stays higher.

In this case, the client’s priority was borrowing capacity. So we reviewed the super contributions, checked what was possible under the rules, and structured the reporting to support the bigger financial goal.

3) The income didn’t match the real business performance

When we benchmarked the results against what the business was actually doing, the taxable income looked unusually low.
After reviewing the records and clarifying a few items, we corrected the reporting so the numbers matched reality.

The outcome

After the clean-up and restructure, we increased the client’s taxable income by around $30,000 — which can make a big difference to a lender because it improves:
✅ serviceability
✅ borrowing capacity
✅ the overall strength of the application

The takeaway

Sometimes the “best result” isn’t the lowest tax bill.

There are times where paying more tax (because the numbers are properly reported and aligned to your goal) can actually help you:

buy a home

refinance

secure business funding

or show stronger financial capacity

If you’re a business owner and:

your income doesn’t reflect how well your business is really doing, or

your loan is stuck because the numbers look too low, or

you can’t get clear guidance from your accountant…

Send me a message — happy to chat.

Welcome to Binh An Business Advisory.

We help small business owners stay on top of tax & compliance and understand their numbers — not just at year-end.

Hi everyone 👋 I’m Steven, founder of Binh An Business Advisory.

I started Binh An Business Advisory with goal to help business owners who are great at what they do — but feeling stressed every quarter because tax and numbers felt confusing, last-minute, and reactive.

Most owners work incredibly hard — long hours, big responsibility — but the numbers they’re relying on are often late, unclear, or only looked at once a year. And when you don’t have the right business performance figures, decisions become guesses:
“Can I hire?” “Can I take time off?” “Can I afford a new lease?” “Is this business actually making money?”

My dream is to be a long-term partner for small business owners on the journey to build wealth — in a practical way:
✅ clear performance figures you can actually use
✅ regular check-ins (not last-minute panic)
✅ simple systems that make things easier

And of course, tax matters. Tax isn’t just a form at year-end — it affects cash flow, pricing, structure, and how much you can keep to reinvest and grow. When the numbers are right, tax planning becomes a strategy — not a surprise.

If you’re a small business owner and want an accountant who’s proactive, straightforward, and focused on helping you make better decisions all year round, have a look at our intro brochure below 👇
